Job Summary

Duties
- Greet visitors and manage front desk responsibilities with professionalism and warmth
- Operate multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette
- Maintain organized filing systems, perform data entry, and ensure accurate record keeping using tools like Microsoft Office, Google Workspace, and QuickBooks
- Assist with calendar management, scheduling appointments, and coordinating meetings for staff and executives
- Support office management tasks such as supply inventory, photocopying, proofreading documents, and managing correspondence
- Provide exceptional customer service by addressing client needs promptly and courteously
- Perform clerical duties including filing, data entry, proofing documents, and supporting bookkeeping activities
Experience
- Prior office experience or administrative support roles preferred; experience in medical or dental reception is a plus
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Familiarity with bookkeeping software is desirable
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Bilingual abilities are highly valued to assist diverse client needs
- Demonstrated customer service skills with professional phone etiquette and interpersonal communication
- Experience in office management or personal assistant roles will be considered an asset
