Dental Practice ManagerJob Summary
We are seeking an experienced, organized, and results-driven Dental Practice Manager to oversee the daily operations of our multi-specialty dental practice. This leadership role is responsible for managing all aspects of the practice, including Orthodontics, General Dentistry, and Oral Surgery, while ensuring exceptional patient care, operational efficiency, regulatory compliance, and a positive team culture.
The Dental Practice Manager will work closely with the doctors and leadership team to optimize practice performance, support staff development, improve the patient experience, and drive the continued growth and success of the practice.
ResponsibilitiesPractice Operations
- Manage the daily operations of all practice departments, including Orthodontics, General Dentistry, and Oral Surgery.
- Develop, implement, and oversee office policies, procedures, and operational protocols.
- Establish long-term goals and strategic initiatives to improve practice performance.
- Monitor key performance indicators, financial reports, production, collections, accounts receivable, and operational metrics.
- Oversee accounts payable, month-end closing, bank reconciliations, and financial reporting.
- Maintain office technology, software systems, website, equipment, and facility operations.
- Ensure data backups, system security, and accurate recordkeeping.
- Maintain a clean, safe, and professional office environment.
Patient Management
- Oversee scheduling, recall systems, follow-up protocols, and appointment management.
- Develop efficient scheduling protocols for multiple providers and specialties.
- Manage emergency appointments, walk-ins, cancellations, and missed appointments.
- Respond to patient communications or delegate appropriately.
- Resolve complex patient concerns and ensure exceptional customer service.
- Maintain accurate patient records and practice management systems.
Staff Leadership
- Recruit, interview, hire, onboard, train, coach, and develop team members.
- Conduct performance evaluations and provide ongoing coaching.
- Manage employee scheduling, attendance, time-off requests, and coverage.
- Oversee payroll, benefits administration, bonus calculations, and incentive programs.
- Update job descriptions and personnel policies.
- Foster a collaborative, respectful, and high-performing workplace culture.
- Resolve employee concerns and facilitate conflict resolution.
- Ensure compliance with OSHA, HIPAA, and all applicable regulations.
Practice Growth & Marketing
- Develop strategies to increase patient acquisition and retention.
- Build and maintain relationships with referring providers and community partners.
- Oversee patient communications, referral tracking, and marketing initiatives.
- Coordinate internal promotions, educational events, and community outreach programs.
Training & Professional Development
- Coordinate onboarding and cross-training for all staff.
- Organize continuing education opportunities and team development.
- Encourage implementation of new techniques, technologies, and best practices.
- Coordinate travel arrangements for professional meetings and continuing education.
Administrative Responsibilities
- Maintain employee records and payroll information.
- Supervise inventory management and vendor relationships.
- Coordinate office events, recognition programs, and team engagement activities.
- Provide regular operational updates to ownership and doctors.
- Perform additional duties as assigned.
Qualifications
- Bachelor's degree preferred or equivalent management experience.
- Minimum of 3 years of dental practice management experience required.
- Experience managing a multi-specialty dental practice preferred.
- Strong understanding of dental practice operations, scheduling, insurance, and patient relations.
- Experience with financial reporting, budgeting, production, and collections.
- Excellent leadership, communication, and conflict-resolution skills.
- Highly organized with exceptional attention to detail.
- Proficiency with Microsoft Office, including Excel, and dental practice management software.
- Ability to prioritize multiple responsibilities in a fast-paced environment.
