JOB OVERVIEW: Masterful Construction Inc. is seeking a highly organized and proactive Office Manager to oversee daily operations across our San Mateo and San Francisco offices. The ideal candidate brings 3–5 years of administrative or office management experience, ideally within a construction or contracting environment, and is ready to take ownership of office operations while supporting a growing project-driven team. RESPONSIBILITIES: • Oversee daily office operations, including front desk management and multi-line phone systems • Coordinate scheduling, calendar management, and meetings for project managers, subcontractors, and clients • Supervise administrative staff, providing training and development opportunities • Manage subcontractor and vendor relationships, including contracts, insurance certificates, and lien waivers • Handle bookkeeping, payroll processing, budgeting, and job costing using QuickBooks or similar construction accounting software • Maintain organized filing systems for permits, contracts, project documents, and compliance records • Assist with HR functions such as onboarding field and office staff, employee records management, and labor law compliance • Support project coordination by tracking RFIs, submittals, change orders, and project schedules • Ensure effective communication between office and field teams via phone, email, and project management platforms • Develop and implement office policies to improve efficiency and support project delivery SKILLS & QUALIFICATIONS: • 3–5 years of experience in office management, preferably in construction, contracting, or a trade environment • Demonstrated supervisory experience with team management capabilities • Proficiency in QuickBooks or construction-specific software (e.g., Buildertrend, Procore, or CoConstruct), bookkeeping, payroll, and job costing • Familiarity with construction contracts, subcontractor agreements, and insurance requirements (GL, workers' comp, certificates) • Strong organizational skills with attention to detail in filing, permit tracking, and document control • Experience coordinating with subcontractors, suppliers, and municipal offices for permits and inspections • Knowledge of prevailing wage, certified payroll, or union requirements is a plus • Ability to multitask and thrive in a fast-paced, project-driven.
