Receptionist and Clerical Related Activities 50% of Time
● Greet and assist clients, families, and community members in a respectful, confidential, and professional manner
● Answer and route phone calls; provide accurate information regarding services including WIC, immunizations, STD/testing services, and birth/death certificates
● Schedule and confirm appointments for multiple programs, ensuring efficient clinic flow
● Check in clients and verify demographic, insurance, or eligibility information as required
● Maintain and organize client records in accordance with privacy and confidentiality guidelines (HIPAA)
● Collect and document required forms, consents, and program-specific paperwork
● Process payments, issue receipts, and balance transactions when applicable (e.g., vital records)
● Coordinate communication between nursing staff, program coordinators, and clients
● Manage high-volume front desk traffic while maintaining a calm and professional environment
● Completes birth and death certificates as requested assuring for compliance with established protocols and for professionalism.
● Responds to requests for assistance from supervisors and others in a professional manner.

Ensure compliance with accreditation standards and grant guidelines through effective data management and reporting. Manages and maintains project tracking systems using Smartsheet to support workflow organization, deadline tracking, and team collaboration. Develop dashboards, automations, and reports to improve efficiency, ensure data accuracy, and provide clear visibility into project progress.
Accreditation Grant & Smartsheet Coordinator 50% of Time
· Coordinate and support accreditation processes, including documentation, timelines, and compliance tracking.
· Manage grant activities, ensuring adherence to funding requirements, deadlines, and reporting standards
· Develop, maintain, and update Smartsheet dashboards to monitor project progress and key performance indicators.
· Organize and maintain records related to accreditation and grant deliverables.
· Collaborate with internal teams to gather required data and ensure timely submission of materials.
· Generate reports and summaries for leadership and stakeholders.
· Identify process improvements to enhance workflow efficiency and data tracking.
· Provide training or guidance for staff on Smartsheet usage as needed.
