Job Overview
We are seeking a dynamic and highly organized Office Assistant / Customer Service Representative to join our team and ensure the smooth operation of our office environment. This energetic role requires a proactive individual who thrives in a fast-paced setting, possesses excellent communication skills, and demonstrates a keen eye for detail. As an Office Assistant, you will be the first point of contact for customers via Phone, manage administrative tasks efficiently, and support various office functions to promote productivity and professionalism across the organization.
Duties
- Greet visitors and clients via phone with professionalism and warmth, creating a welcoming call experience.
- Manage multi-line phone systems, answer inquiries promptly, and direct calls to appropriate personnel with proper phone etiquette
- Handle data entry, filing, and document proofreading to ensure accuracy and organization of records
- Maintain calendars, schedule appointments, and coordinate meetings using Microsoft Office and Google Workspace tools
- Support bookkeeping activities using QuickBooks to assist with invoicing and expense tracking
- Assist with office management tasks such as ordering supplies, maintaining inventory, and ensuring a tidy workspace
- Perform clerical duties including typing correspondence, preparing reports, and managing incoming/outgoing email
Qualifications
- Proven experience in an office environment or administrative role with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Familiarity with QuickBooks or similar bookkeeping software is highly desirable
- Excellent phone etiquette with experience managing multi-line phone systems
- Strong computer literacy with the ability to learn new software quickly
- Previous experience in customer service or as a receptionist (dental or medical receptionist experience is advantageous)
- Demonstrated ability to multitask efficiently while maintaining attention to detail
- Personal assistant or calendar management experience is beneficial for supporting executives or teams
