This position is responsible for overseeing and ensuring compliance in the administration of grant-funded initiatives for private, state, and federal grants.
Responsible for designing, implementing, and managing a comprehensive Grant Management System and compliance framework across the full grant lifecycle, ensuring adherence to sponsor requirements, institutional policies, and applicable laws and regulations. Assists in the implementation of projects according to the original grant submission; understands the appropriate ways to modify the project with the project staff and funder; follows grant expenditures and anticipates potential problems with achieving milestones and expenditure schedules. The position is responsible for supervising a part-time grant-related position. EXAMPLE OF DUTIES
A Bachelor’s degree is required in higher education administration, finance, business, public policy/government, or a related field. A minimum of five years of post-award grant management experience is required. Grant Professional Certification, Certified Grants Management Specialist (CGMS), Project Management Professional (PMP), and/or Certified Research Administrator (CRA) certification preferred. Experience working within higher education is preferred. Experience working with sponsored program grant management databases is preferred. One year of supervisory experience preferred.
Oversee and manage the full lifecycle of externally funded grant projects, including pipeline development, proposal tracking, award management, compliance monitoring, and closeout, ensuring alignment with institutional priorities and funding requirements.
Serve as the functional lead and administrator for the College’s grant lifecycle management system, overseeing system configuration, workflow design, user access, and ongoing optimization to support pre-award and post-award activities.
Design, implement, and continuously improve automated workflows for proposal development, internal approvals, reporting, compliance monitoring, and grant modifications to increase efficiency and reduce administrative burden.
Establish and maintain centralized grants data governance, ensuring the accuracy, integrity, and accessibility of all grant-related data, documents, and records across the institution.
Develop and manage real-time dashboards, reports, and analytics to provide institutional leadership with visibility into grant pipelines, proposal status, financial performance, compliance risks, and program outcomes.
Provide strategic guidance and technical oversight to grant project managers and principal investigators throughout the full grant lifecycle, including proposal development, implementation, reporting, and closeout.
Monitor grant performance and compliance through systematic review of milestones, deliverables, financial activity, and reporting requirements; identify risks and implement corrective actions as needed.
Lead internal compliance monitoring and audit readiness efforts, including conducting periodic reviews of grant-funded activities, maintaining audit trails, and ensuring adherence to federal, state, and local regulations, including 2 CFR Part 200.
Collaborate with Finance, IT, and institutional stakeholders to integrate the grants management system with enterprise systems (e.g., ERP, CRM, document management platforms), ensuring seamless data flow and reporting.
Oversee grant budget tracking and financial compliance, working closely with Grants Accounting to review expenditures for allowability, monitor cost share and matching requirements, and ensure alignment with approved budgets.
Coordinate subawards and external partnerships, including monitoring compliance, tracking performance, and maintaining required documentation within the grants management system.
Serve as the primary liaison to funding agencies, auditors, and external partners, supporting audits, site visits, and compliance reviews.
Advise institutional leadership on grant performance, funding trends, compliance risks, and strategic opportunities using system-generated data and analysis.
Maintain and update grants policies, procedures, and implementation manuals, incorporating system capabilities, regulatory changes, and best practices.
Support pre-award activities, including opportunity tracking, proposal development workflows, and budget review to enhance competitiveness and alignment with institutional strategy.
Provide functional leadership and training to faculty, staff, and administrators on the use of the grants management system, compliance requirements, and effective grants management practices.
Initiate and manage grant modifications, re-budgeting actions, and change requests through structured workflow and approval processes.
Supervises part-time and temporary staff, student employees, or consultants working on post-award projects in the Grants and Resource Development department as needed
Provide expert guidance and ongoing support to grant project directors and principal investigators, advising on grant requirements, implementation timelines, reporting obligations, budget management, and compliance expectations throughout the grant lifecycle.
