Duties
- Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly
- Operate multi-line phone systems efficiently, directing calls to appropriate departments or personnel with professionalism and courtesy
- Manage appointment scheduling and calendar coordination for staff or executives using tools like Google Workspace or Microsoft Office
- Handle incoming and outgoing correspondence, including emails, mail, and deliveries, with attention to detail and accuracy
- Maintain organized filing systems, perform data entry tasks, and assist with document proofreading to support office operations
- Support clerical tasks such as photocopying, scanning, filing, and managing office supplies inventory
- Provide customer support by answering inquiries, providing information about services or products, and resolving basic issues swiftly
Experience
- Experience with Best Western Hotel or knows Hotelkey program more preferable.
- Prior office management or administrative experience is preferred; familiarity with front desk operations is highly valued
- Proven ability to handle multi-line phone systems with excellent phone etiquette and professionalism
- Bilingual skills are a strong plus, enabling effective communication with diverse clients and visitors
- Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and data entry software like QuickBooks or similar tools
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Experience in clerical duties such as proofreading, filing, bookkeeping, calendar management, and time management practices
- Personal assistant experience or office support roles that involved customer service and administrative responsibilities
