Job Description:
We are seeking a detail-oriented and proactive Operations Coordinator to support our Supply Chain Manager and Logistics Manager with daily execution across procurement, production, inventory management, logistics, and order management. This role is essential to keeping our supply chain running smoothly and will work closely with both managers to handle a broad range of administrative and operational tasks. The ideal candidate is highly organized, comfortable working across ERP and logistics systems, and thrives in a fast-paced food and/or consumer goods environment.
Responsibilities
Manage end-to-end tactical procurement including issuing RFQs, submitting Purchase Orders, tracking order status, receive and process incoming materials, verify quantities, and maintain accurate documentation in Quickbooks
- Review and approve vendor invoices in alignment with purchase orders and receipt confirmations
- Support vendor management activities including performance tracking and resolution of quality or material issues
- Coordinate internal logistics for co-manufacturer (co-man) production runs, including scheduling, receiving, and tracking all inbound and outbound material movements
- Coordinate fruit and packaging materials delivery to co-man facilities, managing both physical transfer and Quickbooks system updates
- Build fruit assemblies into Work-In-Progress (WIP) records in preparation for co-man production runs
- Coordinate finished goods pickup from co-man and delivery to third-party storage (Lineage), ensuring accurate systemic transactions
- Create and manage production builds in Quickbooks for co-man productions across product lines
- Provide daily administrative support to Supply Chain Manager across order management, production planning, demand/forecast planning, and inventory management
- Provide daily administrative support to the Logistics Manager across outbound order fulfillment, harvest/raw bulk management, and international requirements
- Maintain accurate records of all material movements and assist managers with reporting, data entry, and cross-functional communications
- Perform regular inventory reconciliations by comparing physical counts to system records and investigating discrepancies
- Assist in 3PL PO releases and following up with inbound/outbound appointment scheduling
- Oversee samples and small order
Ideal Qualifications:
- 2+ years of experience in supply chain, operations, logistics, or procurement coordination
- Proficiency with ERP or inventory management systems; experience creating and managing POs, receipts, and production builds
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously
- Excellent attention to detail and accuracy in data entry and documentation
- Effective verbal and written communication skills for working cross-functionally with vendors, co-manufacturers, and internal teams
- Experience in food manufacturing, CPG, or agriculture is a strong plus
- Familiarity with co-manufacturing operations and third-party logistics (3PL) coordination preferred
- Willingness to periodically visit co-man facilities, warehouses, or distribution centers as needed
Pay: $25.00 - $30.00 per hour
