We are seeking a dynamic and highly organized Executive Personal Assistant to provide comprehensive support to senior executive. Responsibilities
- Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
- Provide executive administrative support by preparing correspondence, reports, presentations, and proofreading documents for accuracy and clarity.
- Coordinate projects and events from inception to completion, including planning logistics, booking venues, managing vendor relationships, and overseeing timelines.
- Handle office management duties such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records for easy retrieval.
- Serve as the first point of contact via multi-line phone systems with professional phone etiquette; screen calls and direct inquiries appropriately.
- Assist with personal tasks as needed, including transcription, document signing via DocuSign, and managing personal schedules.
- Support front desk operations by greeting visitors, managing office supplies inventory, and ensuring a welcoming environment.
Qualifications
- Proven experience as an executive personal assistant or in a similar administrative role with strong office management skills.
- Exceptional organizational skills with the ability to multitask efficiently in a fast-paced setting.
- Proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace tools (Gmail, Calendar), and familiarity with Microsoft Outlook Calendar.
- Experience with bookkeeping software such as QuickBooks and basic data entry tasks.
- Excellent typing speed combined with transcription and proofreading abilities to ensure accuracy in all documents.
- Strong communication skills with professional phone etiquette; capable of handling multi-line phone systems confidently.
- Demonstrated ability to coordinate projects and manage multiple priorities independently.
- Knowledge of office procedures including filing systems, clerical tasks, customer service standards, and front desk operations.
