POSITION SUMMARY
The Warehouse Supervisor leads and directs the refinery's warehouse and materials management organization, with full accountability for receiving, storing, and issuing the materials that keep the plant running safely and reliably. This role sets the strategic direction for inventory management, warehouse operations, and safety compliance, and serves as the primary interface between the warehouse and Maintenance, Planning, Operations, and Procurement to ensure the right materials are available at the right time and cost.
The Warehouse Supervisor owns the overall performance of the warehouse function, including inventory accuracy and value, stocking strategy, staffing and development, and vendor and contractor performance. This position also leads material and equipment planning for plant turnarounds and outages, and drives continuous improvement in warehouse safety, space utilization, and cost efficiency.
EDUCATION REQUIREMENTS
- Bachelor's degree in Supply Chain Management, Business, Logistics, Accounting, or a related technical field highly preferred; equivalent combination of education and directly relevant experience will be considered in lieu of degree.
- Certified Supply Chain Professional (CSCP), Certified in Production and Inventory Management (CPIM), or Certified Professional in Supply Management (CPSM) highly desired.
- High School Diploma or equivalent required.
EXPERIENCE REQUIREMENTS
- 7+ years of progressive experience in warehouse operations, materials management, or procurement within a refinery, petrochemical, or heavy industrial environment required. 8+ plus years' related experience will be considered in lieu of degree.
- 5+ years of supervisory or management experience, including leading supervisors/leads and managing overall team performance, required.
- Demonstrated ability to lead, develop, and motivate a multi-level warehouse team, and to build a stakeholder-focused culture across the organization.
- Strong working knowledge of a computerized inventory/maintenance management system (e.g., Oracle, Maximo, SAP) required; experience configuring or optimizing such systems preferred.
- Proficient with warehouse management technology (barcode scanning, label printing, RFID) and MS Office, particularly Excel, required.
- Proven experience establishing and managing inventory stocking strategies, criticality analysis, and stock optimization processes.
- Experience planning and managing materials and equipment logistics for plant turnarounds and outages.
- Strong financial acumen, with experience managing a warehouse operating budget and identifying cost-savings opportunities.
- Working knowledge of safety regulations and hazardous materials handling requirements (OSHA, DOT) within a refinery or industrial setting.
- Excellent organizational and time-management skills, with demonstrated knowledge of accepted ethical purchasing policies and procedures.
- Ability to adjust work schedule and be available to respond to plant emergencies as needed.
- Fluent in English (oral and written) required; strong verbal and written communicator and negotiator across all levels of the organization.
MAJOR ACCOUNTABILITIES
Leadership & Team Management
- Provide leadership and direction to warehouse supervisors, leads, and staff; assign duties, set performance expectations, and manage overall team performance.
- Lead the hiring, onboarding, and training/development program for warehouse staff to build a skilled, safety-focused team.
- Interface directly with plant leadership, Maintenance, Planning, and Operations to align warehouse priorities with plant needs.
Materials & Inventory Management
- Own the warehouse materials management function, including receiving, storage, disbursement, inventory accuracy, and value reporting.
- Establish and maintain optimal inventory stocking levels and criticality-based stocking strategies; identify and manage obsolete/excess stock disposition.
- Review and approve data entry of new warehouse stock items; ensure compliance with established processes and controls.
- Process and review requisitions for plant material and warehouse restocking; oversee invoice review for plant material entered into the ERP/payable system.
Turnarounds & Outages
- Plan, coordinate, and execute material and equipment acquisition strategy for plant turnarounds and outages.
- Schedule and coordinate expanded work hours and staffing coverage to ensure warehouse coverage during outages and turnarounds.
Vendor & Contract Management
- Establish and maintain strategic relationships with key suppliers; negotiate terms to optimize cost, quality, and service.
- Schedule periodic performance reviews with contract material providers and promptly address any service or quality issues.
- Coordinate plant equipment rental programs.
Financial & Compliance
- Manage the warehouse operating budget and support monthly expense reporting with plant accounting.
- Ensure compliance with all company policies and procedures, including ethical purchasing practices and SOX controls, across warehouse activities.
- Direct and ensure inspection and expediting activities as needed; oversee and track outbound freight traffic and logistics for the warehouse.
Safety & Emergency Response
- Enforce all safety protocols and standards, including safe handling of materials near potentially volatile and combustible chemicals.
- Be available 24/7 to respond to plant emergencies.
EXPECTED RESULTS
- Maintenance, Planning, and Operations receive timely, accurate material support that minimizes downtime and maximizes plant reliability.
- Warehouse and inventory management function operates safely, efficiently, and cost-effectively, with strong control over material value and stocking levels.
- All company policies and procedures are followed, ensuring ethical conduct and SOX compliance across every warehouse activity.
- Warehouse staff are well-trained, motivated, and equipped to meet performance objectives, with a clear development pipeline for future leaders.
- Warehouse leadership is a visible, active partner in plant emergency response and in turnaround/outage execution.
- Storage space utilization continually improves, and the facility remains clean, safe, organized, and well maintained.
