Job Title: Embroidery Art Specialist

Position Summary
The Embroidery Art Specialist owns the embroidery artwork case queue in NetSuite and keeps orders moving through pre-production. This role reviews incoming artwork cases, resolves those within its scope, and hands off the rest to the team member best equipped to resolve them, whether the case calls for a color up, mock up, sew out, digitizing, or an answer to a general question. The specialist tracks every case through resolution so no order stalls between order entry and production.
Working under the direction of the Embroidery Manager, this position also supports pre-production by creating mockups, preparing artwork, and managing color instructions, maintaining quality, clarity, and consistency across embroidery orders.
Key Responsibilities
NetSuite Case Management & Handoffs (Primary)
- Own the embroidery artwork case queue in NetSuite; review and triage new cases daily.
- Identify each case type (color up, mock up, sew out, digitize, general question) and determine the fastest path to resolution.
- Resolve in-scope cases directly; route all others to the appropriate resolver with complete, clear context so no rework is required.
- Monitor open cases through resolution, follow up on stalled or aging cases, and keep orders on track for production deadlines.
- Maintain accurate case records in NetSuite, including status, notes, next steps, and ownership.
- Escalate blocked cases, recurring issues, or unclear ownership to the Embroidery Manager.
Mockups & Artwork Preparation
- Create digital mockups showing logo placement, sizing, and thread colors.
- Prepare and organize artwork files for embroidery production.
- Ensure all mockups and files align with approved artwork and customer specifications.
Color Instructions & File Accuracy
- Record and apply color instructions using internal tools (e.g., Color Up).
- Ensure consistency between artwork, mockups, and production requirements.
- Review files for accuracy prior to release to production.
Production Support
- Assist in preparing jobs for production by ensuring files and instructions are complete and accurate.
- Support updates or adjustments to artwork based on feedback from leadership or production teams.
- Help ensure smooth handoff of jobs to the production team.
File & Asset Management
- Organize and maintain artwork files, mockups, and production documents.
- Follow established naming conventions and file organization standards.
- Archive completed work for repeat orders and future reference.
Quality Support
- Review mockups and artwork to ensure alignment with brand standards and embroidery requirements.
- Identify and flag potential issues related to placement, sizing, or color.
- Support quality checks for consistency across repeat orders.
Qualifications & Skills
- Experience working cases or orders in NetSuite or a comparable ERP/CRM system strongly preferred.
- Working knowledge of the embroidery production process, including color ups, mock ups, sew outs, and digitizing, or the aptitude to learn it quickly.
- Proficiency with design software (e.g., Adobe Illustrator, Photoshop, or embroidery-specific tools).
- Strong organizational skills with the ability to prioritize a high-volume case queue and meet production deadlines.
- Clear written communication for case notes, handoffs, and customer-facing instructions.
- High attention to detail and consistent follow-through.
- 1–2 years of experience in pre-production, graphics, order management, or production support preferred.
