Board & Administrative Coordinator — Hi-Desert Artists (HDA)
Hi-Desert Artists (HDA) is seeking a part-time Board & Administrative Coordinator to join our community art center. This is a hands-on, in-person role supporting HDA's all-volunteer Board of Directors and its committees, who together carry out the day-to-day work of the organization. The ideal candidate is technically savvy, comfortable working with a wide range of volunteers from different backgrounds, and energized by the mission of a nonprofit arts organization. This is an employment at will position.
About Our Workplace
The Hi-Desert Artists Community Center hosts three (3) art galleries and a gallery shop. The feature gallery (the Shafer Gallery) is a space for rent for self-curated, solo or small group exhibitions. Two galleries are dedicated member galleries displaying members' works of art. The gallery shop sells artisan works produced by artist members. The Center's operational funding comes from dues paid yearly by artist members.
This Art Center is the product of thousands of volunteer hours of work and time invested by its members. It is a high-visibility work environment that supports community self-expression, many art mediums, and a diverse artist population.
Position Overview
HDA is looking for a tech savvy person to drive and elevate the work of our volunteer Board of Directors by supporting the Board as a whole and each of its committees. The Coordinator carries out the administrative work and provides recommendations and support, while deferring to and working with multiple directors.
Committee & Board Support
The Coordinator supports the Board and its 7 active committees, each with about 7–8 members. Not all require hands-on management/support but responsibilities ebb and flow based on need.

- Gallery / Exhibitions Committee (attendance is essential)
- Volunteer Corps Committee (attendance when requested)
- Membership Committee (attendance when requested)
- Gallery Shop Committee (attendance when requested)
- Docent Coordinator (attendance is essential)
- Budget Committee (attendance when requested)
Key Responsibilities
Board & Committee Support
- Attend Board meetings and committee meetings as needed, carrying out hands-on administrative work as directed.
- Build and maintain an ongoing calendar of meetings, timelines, deliverables, and creative/production needs to proactively support the Board and committees.
Platforms & Tools (proficiency in, understanding of, or willingness to learn)
- Square — POS and website interface; inventory entry, removing unsold items after shows, and generating barcodes/printing codes for the Gallery, Gallery Shop, and exhibitions.
- Google Workspace — day-to-day coordination and recordkeeping.
- Canva — design flyers and graphics for marketing materials, and manage the flow of design requests from committees.
- Elementor — support the planned website upgrade.
- VicNet — volunteer management system; support docent scheduling and volunteer calendar coordination.
Community, Retail, & Donor Engagement
- Maintain the HDA website, including updates to pages, calendar, and event listings.
- Event management and support at gallery openings, music events and fundraising events..
- Support Board with donor relations and sponsors when opportunities arise.
- Support the retail experience in the Gallery and Gallery Shop.
- Help build community awareness, including around local art walks.
Working Style & Professionalism
- Work effectively and respectfully with a wide range of volunteers from different backgrounds, ages, and working styles.
- Present a positive, professional image for the organization.
Work Hours
This part-time, in-person position is approximately 20–30 hours per week, depending on committee and event workload. The Coordinator must be on-site and available during HDA's open hours, within reason, including some additional committee and event times. Current open hours are:
- Monday & Thursday: 11:00 AM – 2:00 PM (6 hours)
- Friday & Saturday: 11:00 AM – 5:00 PM (12 hours)
- Sunday: 12:00 PM – 3:00 PM (3 hours)
In addition to the hours above, the Coordinator is expected to be available for classes (Tuesday/Wednesday), Board meetings (Wednesday), and committee meetings, which are scheduled during work hours. Hours may vary on Exhibition Opening nights and Art Walk evenings.
Compensation
Pay rate: $18 - 25 per/hour
Skills & Qualifications
- Technically knowledgeable and comfortable learning new software platforms.
- Comfortable working with a group of volunteers from different backgrounds.
- Retail experience, donor/customer experience, and community awareness (including local art walks) are a plus.
- A genuine love of art.
- Excellent written and interpersonal communication skills; professional and courteous demeanor.
- Time management, organizational skills, and flexibility to support multiple committees at once.
- Ability to work independently and take direction from multiple committee directors.
Education & Experience
- High school diploma or equivalent; an associate's degree is a plus.
- Past administrative, coordination, or retail experience — ideally in an arts, gallery, or nonprofit setting — is a definite plus.
