Responsibilities
- Oversee daily office operations, ensuring all administrative functions run seamlessly and efficiently.
- Manage scheduling for meetings, appointments, and company events, coordinating calendars for multiple teams.
- Supervise administrative staff and provide training and development to enhance team performance.
- Handle vendor management, including negotiating contracts, processing invoices, and maintaining positive supplier relationships.
- Maintain accurate bookkeeping records using accounting software such as QuickBooks; manage payroll and assist with budgeting processes.
- Organize company events, meetings, and training sessions to promote team engagement and professional growth.
- Manage confidential information with discretion while ensuring compliance with company policies and procedures.
- Utilize Microsoft Office tools and spreadsheets to prepare reports, track expenses, and support office documentation needs.
- Oversee office supplies inventory, filing systems, multi-line phone systems, and general clerical tasks to keep the office running smoothly.
- Facilitate effective communication across departments through excellent phone etiquette and client communication skills.
Requirements
- Proven experience in office management or administrative roles with strong organizational skills.
- Demonstrated supervising experience with the ability to lead teams effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with experience using spreadsheets for data management.
- Familiarity with accounting software such as QuickBooks or similar financial tools; experience with bookkeeping and accounting is preferred.
- Knowledge of human resources functions including payroll processing and employee onboarding/training.
- Experience managing vendor relationships, contracts, budgeting, and financial software applications.
- Excellent communication skills—both verbal and written—with a professional phone etiquette approach.
- Ability to handle confidential information responsibly while maintaining high levels of discretion.
- Strong organizational skills with the capacity to manage multiple priorities simultaneously in a fast-paced environment.
- Previous office experience involving clerical duties, client interaction, calendar management, filing systems, and multi-line phone systems is essential.
