Overview
We are seeking a dynamic and detail-oriented Receptionist/Administrative Assistant to join our team! Duties
- Greet visitors warmly and professionally, directing them appropriately and maintaining a welcoming atmosphere at the front desk
- Manage multi-line phone systems, answer inquiries, and route calls efficiently using excellent phone etiquette
- Handle data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace
- Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents
- Assist with appointment scheduling, calendar management, and coordinating meetings for staff and clients
- Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking
- Provide general clerical support such as proofreading documents, managing correspondence, and preparing reports
- Support office management tasks including supply inventory, filing systems, and maintaining a tidy workspace
Qualifications
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with multi-line phone systems and excellent phone etiquette skills
- Ability to perform data entry accurately and efficiently in various software platforms
- Previous experience as a receptionist, medical or dental receptionist, or personal assistant is preferred
- Strong organizational skills with the ability to prioritize tasks effectively and manage time well
- Technical proficiency in office management tools such as QuickBooks, bookkeeping software, or calendar management applications
- Excellent customer service skills with a friendly demeanor and professional communication style
- Knowledge of clerical procedures including filing, proofreading, and document preparation
