POSITION SUMMARY
The Secretary/Accountant provides administrative, clerical, bookkeeping, and financial support for the efficient operation of Madison Middle School. The employee is responsible for maintaining accurate school financial records, processing transactions, assisting administrators, communicating with staff, students, parents, and the public, and performing general office responsibilities in accordance with Boone County Schools policies, procedures, and applicable state requirements.
QUALIFICATIONS

High school diploma or equivalent.

Meet all requirements established by West Virginia law and Boone County Schools for the applicable service personnel classification.

Successfully pass any required competency tests for the position.

Demonstrated knowledge of general office practices, bookkeeping, accounting procedures, and recordkeeping.

Ability to operate computers, office equipment, financial software, spreadsheets, word-processing programs, and other technology utilized by Boone County Schools.

Ability to accurately perform mathematical calculations and maintain detailed financial records.

Ability to organize and prioritize multiple responsibilities while meeting established deadlines.

Ability to communicate effectively and professionally with administrators, employees, students, parents, vendors, and the public.

Ability to maintain confidentiality regarding student, employee, financial, and other sensitive information.

Successful completion of required background checks and other employment requirements.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The Secretary/Accountant shall:

Perform general secretarial and administrative duties necessary for the efficient operation of the school office.

Receive and appropriately direct telephone calls, visitors, parents, students, employees, and other individuals conducting business with the school.

Assist the principal and other administrators with correspondence, reports, schedules, records, forms, and other administrative responsibilities.
-
Maintain accurate school financial and accounting records in accordance with Boone County Schools procedures and applicable state requirements.
-
Receive, receipt, record, deposit, and account for funds collected by the school.
-
Prepare deposits and maintain appropriate documentation and reconciliation records.
-
Process purchase orders, invoices, requisitions, payments, reimbursements, and other financial transactions.
-
Maintain records for school activity accounts, athletic accounts, student organizations, fundraising activities, and other school-based accounts as assigned.

Reconcile financial records and accounts and assist in preparing monthly, quarterly, annual, or other required financial reports.

Maintain supporting documentation for all financial transactions and ensure records are organized and available for review or audit.

Assist coaches, sponsors, teachers, and administrators with proper procedures for collecting, depositing, spending, and documenting school funds.

Monitor account balances and notify the principal of discrepancies, insufficient balances, unusual transactions, or other financial concerns.

Assist with ordering supplies, equipment, instructional materials, and other items needed for school operations.

Maintain records related to vendors, purchases, invoices, and payments.

Assist with student records, attendance records, enrollment information, and other school records when assigned.

Prepare correspondence, reports, spreadsheets, forms, notices, and other documents.
-
Maintain files and records in an accurate, organized, and confidential manner.
-
Assist with employee time records, leave documentation, substitute information, payroll-related paperwork, and other personnel records as directed.

Provide administrative support for school activities, athletics, meetings, events, and programs.
-
Assist with preparing financial information and documentation requested by the principal, central office, auditors, or other authorized personnel.

Follow established internal controls and safeguard cash, checks, financial records, passwords, and other school assets.

Maintain confidentiality of student, employee, personnel, and financial information in accordance with applicable laws, policies, and procedures.

Demonstrate professionalism, courtesy, dependability, and effective customer service.

Maintain regular and punctual attendance.
-
Participate in required training and professional development.

Follow all Boone County Schools policies, procedures, administrative directives, and applicable state and federal laws.

Perform other duties related to the position as assigned by the Principal, Superintendent, or designee.

PHYSICAL REQUIREMENTS
The employee must be able to perform the essential functions of the position, with or without reasonable accommodation. Duties may require prolonged periods of sitting or standing, use of computers and other office equipment, filing, reaching, bending, and lifting or moving materials typically associated with an office and school environment.
EVALUATION
Performance shall be evaluated in accordance with Boone County Schools policies, procedures, and applicable West Virginia law.
TERMS OF EMPLOYMENT
210-day employment term. Salary and benefits shall be established according to the Boone County Schools salary schedule, applicable state law, and Board of Education policies.
