JOB SUMMARY
Cascade Village is a well-established large mountain condominium association with over 150 units located just minutes from Purgatory Ski Resort in the beautiful San Juan Mountains of Colorado.
The Office Administrator is the welcoming face of Cascade Village Community Association. This position serves as the first point of contact for homeowners, residents, guests, vendors, and contractors while supporting the day-to-day administrative operations of the Association.
Success in this role requires exceptional customer service, professionalism, organization, and the ability to communicate effectively while managing multiple priorities. The ideal candidate enjoys helping people, remains calm under pressure, and takes pride in creating a welcoming and organized environment for everyone who visits Cascade Village.
Housing may be available: A private, furnished, one bedroom unit with utilities, electricity, and WiFi may be available on-site in the clubhouse building, making this a great opportunity for someone looking to live and work in the Colorado mountains. If commuting instead of living on-site, some form of fuel reimbursement may be considered.
Drug and Background checks: These positions require drug and background checks as a pre-employment condition.
Responsibilities:
- Homeowners, residents, and guests receive prompt, friendly, and professional service.
- Front office operations and club house remain organized, efficient, and welcoming.
- Invoices are coded accurately while in communication with our Treasurer.
- Service requests are accurately documented and routed to the appropriate staff.
- Monitor and follow-up on pending tasks
- Communication between homeowners, vendors, contractors, and management is timely and professional.
- Administrative tasks are completed accurately and efficiently while maintaining confidentiality.
- Full-Time (Business Hours Coverage; Monday-Saturday, 9:00 AM-5:00 PM as scheduled)
Front Desk & Guest Services
- Welcome homeowners, residents, guests, vendors, and contractors with a professional and friendly attitude.
- Expense categorization and posting
- Answer, screen, and direct incoming phone calls, emails, and walk-in inquiries.
- Provide information regarding community amenities, operating hours, events, and Association policies.
- Assist homeowners and guests with mail distribution and authorized amenity access.
- Maintain a positive first impression of the Association through excellent customer service.
Homeowner & Resident Support
- Receive and document homeowner questions, concerns, and maintenance requests.
- Route work orders and operational issues to the appropriate staff member.
- Assist with Condo Control communications and homeowner records.
- Maintain accurate homeowner contact information and unit records.
- Support homeowner communications regarding community updates and notices.
Office Administration
- Assist Property Manager on daily needs/operations
- Invoice coding and processing.
- Processing checks using scanning equipment
- Invoicing owner for reimbursable expenses.
- Responding to title company information requests.
- Maintain a clean, organized, and professional reception area.
- Sort and distribute incoming mail, packages, and deliveries.
- Perform filing, scanning, copying, data entry, and other administrative duties.
- Assist with preparation of Board meeting materials, notices, and community correspondence.
- Maintain confidential records with professionalism and discretion.
Vendor & Contractor Coordination
- Check in vendors and contractors arriving on property.
- Notify appropriate staff members of scheduled arrivals.
- Assist with coordinating access to common areas as directed by management.
- Assist Property Manager with vendor proposals
Required Skills and Qualifications
- High school diploma or equivalent.
- Ability to pass drug and background check.
- 2+ years of front-office and/or back-office experience
- Excellent customer service and interpersonal communication skills.
- Professional verbal and written communication abilities.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Basic proficiency with Microsoft Office, Google Workspace, email, and office technology.
- Ability to learn community management software, including Condo Control, QuickBooks-related systems, and Dext.
- Ability to maintain confidentiality and exercise sound judgment.
Preferred Skills and Qualifications
- Previous receptionist, front desk, hospitality, HOA, property management, or customer service experience.
- Experience with invoice coding/expense categorization.
- Experience working with condominium or homeowners' associations.
- Familiarity with multi-line phone systems and service request coordination.
- Bilingual communication skills are a plus.
