Public Access Program Coordinator - Temporary, Part-Time

Position Summary
The Fox Club is a historic private club in Cambridge, Massachusetts. The Charitable Friends of Digamma Board is the nonprofit organization responsible for supporting the preservation of the Club and fulfilling its public access obligations. Charitable Friends of Digamma Board is seeking a temporary, part-time Public Access Program Coordinator to help plan, publicize, execute, and document public access programming connected to the organization's nonprofit and historic preservation obligations. This role is focused on practical execution: coordinating with board members and staff, organizing public-facing access opportunities, supporting tours and events, and maintaining clear records that show the organization has completed the required public access work.
This is a hands-on, time-limited role for someone who is highly organized, responsive, comfortable working independently, and able to be physically present in Cambridge, Massachusetts for events and onsite coordination.
Key Responsibilities
Program planning and coordination
- Help translate the organization's public access requirements into a practical calendar of events, tours, and related programming.
- Coordinate event dates, onsite logistics, staffing needs, guest flow, and communications with relevant board members, administrative staff, and onsite personnel.
- Track next steps, owners, deadlines, and materials needed to keep the public access plan moving forward.
Publicity, outreach, and guest coordination
- Publicize approved public access opportunities through appropriate channels.
- Assist with guest outreach, RSVPs or registration, confirmations, reminders, and day-of communications.
- Serve as a point of coordination for attendees, visitors, or outside groups participating in public access programming.
Event and tour execution
- Support onsite execution of public access events, including setup coordination, guest check-in, visitor guidance, and closeout tasks.
- Lead or support tours and other public-facing activities as appropriate.
- Coordinate with onsite staff to ensure events run safely, professionally, and in line with organizational expectations.
Documentation and reporting
- Maintain organized records of outreach, event dates, attendance or participation, materials used, and other relevant documentation.
- Prepare concise summaries or status updates for board members and staff.
- Help ensure the organization can demonstrate completion of its required public access obligations.
Qualifications
Required
- Based in or near Cambridge, Massachusetts and able to work in person for onsite events, tours, and coordination.
- Strong organizational skills, attention to detail, and ability to manage multiple moving pieces at once.
- Clear written and verbal communication skills.
- Comfort working independently while coordinating with board members, staff, and other stakeholders.
- Comfort interacting with guests, alumni, students, community members, and outside visitors in a professional manner.
- Ability to work a variable part-time schedule, including some evenings or weekends as event needs require.
Preferred
- Experience with event planning, nonprofit programming, public engagement, tours, historic preservation, cultural institutions, or community programming.
- Familiarity with the Fox Club community or Harvard community is welcome, but not required.
