Position Overview: The Fall Student Intern at Born to Blossom plays a key role in supporting and improving the day-to-day administrative, onboarding, marketing, and operational systems of the clinic. The intern will work closely with leadership and administrative staff to evaluate existing systems, identify opportunities for increased efficiency, and help develop sustainable processes that support both families and employees receiving and providing Applied Behavior Analysis (ABA) services. The ideal candidate is highly organized, detail-oriented, self-motivated, and comfortable working in a fast-paced environment. This position offers hands-on experience in healthcare administration, operations management, recruitment marketing, compliance systems, and organizational development. The Summer Student Intern will work on-site and interact with staff, clients, and community partners while helping improve the overall experience for both employees and families served by the clinic.
Key Responsibilities
- Employee Experience & Onboarding Systems
- Support and improve the employee onboarding process from offer to the first 30 days
- Develop a centralized onboarding resource hub (internal employee site)
- Identify gaps in onboarding communication and propose improvements
- Client Intake & First Impressions
- Assist in managing client onboarding workflows (intake, communication, scheduling coordination)
- Evaluate current onboarding experience and create a standardized communication playbook
- Help improve response time, clarity, and consistency for new families
- Insurance & Operations Support
- Support administrative insurance processes (benefits verification, authorization tracking, documentation gathering)
- Analyze workflow bottlenecks and recommend process improvements
- Assist in organizing systems related to credentialing and compliance tracking
- Compliance & Risk Management
- Audit employee documentation systems for compliance (background checks, MVRs, credentialing records)
- Develop a tracking system for recurring compliance requirements (annual renewals, deadlines)
- Create a simple compliance SOP for internal use
- Process Improvement & SOP Development
- Create clear SOPs for:
- Client communication workflows
- Onboarding email management
- Internal administrative processes
- Build a “playbook” so roles can be easily backfilled or supported
- Front Office Operations (Support Role)
- Assist with phone coverage, message routing, and basic inquiries
- Identify common questions/issues and help improve how they are handled
- Evaluate in-person support role, determine job duties, develop systems, and train new support staff before transitioning out
- Community Outreach & Brand Awareness
- Support outreach efforts within the Four State Area (schools, pediatricians, community organizations, events)
- Assist in identifying and organizing referral and partnership opportunities
- Help maintain outreach contact lists and track communication efforts
- Assist in creating content for social media and community-facing materials that reflect company values
- Recruitment Marketing & Messaging
- Assist in developing and posting content to attract potential employees (RBTs, BCBAs, parent coaching specialists)
- Help refine messaging that highlights company culture, mission, and work environment
- Track engagement and identify which strategies generate the strongest applicant interest
- Marketing Systems & Process Development
- Assist in organizing marketing materials, templates, and content calendars
- Support development of systems for tracking outreach, referrals, and engagement
- Identify opportunities to improve consistency and efficiency in marketing efforts
Qualifications
- Current Pittsburg State University student
- Communication Skills: Strong verbal and written communication skills, with the ability to interact professionally with clients, families, and staff.
- Organizational Skills: Excellent time management, organizational, and multitasking skills, with the ability to handle various administrative tasks efficiently.
Work Conditions
- Work Environment
- On-Site Position: This is a full-time, on-site role based at the clinic, requiring the ability to work in a dynamic, fast-paced environment.
- Schedule: Monday through Friday, 8:30am-4:30pm (some flexibility allowed, for the right candidate)
- Client-Facing: Must be comfortable interacting with clients and families, maintaining a professional and compassionate demeanor at all times.
Physical Requirements
- Standing & Walking: Frequent standing and walking to greet clients, assist with clinic maintenance, and support the clinical team.
- Office Work: Ability to sit for extended periods while managing scheduling, data entry, and other administrative tasks.
- Light Lifting: Occasional lifting of office supplies, therapy materials, or light equipment (up to 20 lbs).
Workload & Challenges
- Fast-Paced Environment: Must be able to manage a variety of administrative tasks simultaneously, especially during busy client hours.
- Emotional Resilience: Working with children and families receiving autism services can be emotionally challenging; must demonstrate compassion, patience, and professionalism in all interactions.
