This position provides intermediate administrative and operational support for the Office of the Vice Provost for Graduate Students and Postdoctoral Scholars. Serves as the primary point of contact for the office by answering the main phone line, greeting walk-in visitors, and responding to routine inquiries. Supports graduate admission and records through document scanning and records handling. Manages office mail, calendars, supplies, facilities requests, safety documentation, and front desk operations in accordance with established policies and procedures. Based on experience and skills, duties may expand to include more complex operational duties.
Responsibilities and Duties:
- Maintain calendars, schedule meetings, prepare agendas, collect and provide support materials, and record and distribute minutes
- Compose routine correspondence and draft non-routine correspondence
- Proofread various documents, reports and presentation materials
- Collect data for use in reports, presentations and meetings
- Assist with small event coordination, including room reservations, setups, resource needs, and catering
- Arrange travel, order supplies, maintain organizational files, make copies, distribute incoming and outgoing mail, and ensure proper functioning of office equipment
- Update and maintain mailing lists, databases and websites
