Options Consulting PLLC is seeking an experienced, highly organized, and dependable Medical Administrative Assistant to join our occupational medicine practice.
We are looking for someone who understands the pace and demands of a medical office and can step into the role with confidence. The ideal candidate has strong medical administrative experience, excellent attention to detail, and the ability to work independently while being an integral part of a team.
This is a multifaceted position. We need someone who is comfortable working across different areas of the practice and willing to step in to provide coverage wherever needed—from the front desk and scheduling to referrals, medical records, credentialing, billing, and workers' compensation protests.
What You'll Do
You will work closely with our providers and administrative team and will be responsible for a variety of important practice operations.
Front Office & Patient Coordination
- Provide professional and welcoming service to patients
- Manage incoming calls and patient inquiries
- Schedule and coordinate patient appointments
- Handle patient check-in and check-out
- Communicate professionally with patients, providers, and outside organizations
- Maintain an organized and efficient front office
Referrals & Medical Records
- Coordinate incoming and outgoing referrals
- Request, obtain, and track medical records
- Review records and referral documentation for completeness
- Organize, scan, and maintain electronic medical records
- Coordinate authorizations and other required documentation
- Follow up with outside offices when records or information are outstanding
Credentialing & Provider Administration
- Assist with provider credentialing and recredentialing
- Maintain provider licenses, certifications, and credentialing documentation
- Assist with payer enrollment and updates
- Maintain accurate provider and practice information
- Track expiration dates and ensure required documentation remains current
Billing, Claims & Workers' Compensation
- Assist with medical billing and claims follow-up
- Research and resolve claim issues
- Identify missing or incorrect information affecting claims
- Communicate with insurance companies and other payers
- Assist with workers' compensation claim protests and appeals
- Gather documentation and supporting records for protests
- Track outstanding issues and follow through to resolution
Team & Practice Support
- Cross-train in all administrative areas of the practice
- Provide coverage for other team members when needed
- Assist with workflow improvements and special projects
- Help develop and maintain efficient office procedures
- Take initiative to identify problems and help find solutions
- Support providers and coworkers wherever needed
What We're Looking For
Required:
- 3+ years of experience in a medical office or healthcare administrative setting
- Strong understanding of medical office operations
- Excellent organizational and time-management skills
- Exceptional attention to detail
- Strong written and verbal communication skills
- Ability to prioritize multiple tasks and meet deadlines
- Proficiency with computers and electronic medical records
- Ability to work independently with minimal supervision
- Professional, dependable, and accountable work ethic
- Ability to maintain confidentiality and handle sensitive patient information appropriately
Highly Preferred:
- Experience with occupational medicine or workers' compensation
- Medical billing and claims experience
- Experience with referrals and medical records
- Insurance authorization experience
- Provider credentialing experience
- Experience preparing or submitting claim protests/appeals
- Familiarity with Washington workers' compensation/L&I processes

Pay: $26.00 - $38.00 per hour
