SUMMARY: The Racquet Sports Administrative Assistant provides administrative, organizational, and customer service support for the Racquet Sports department. This position is responsible for assisting with daily office operations, coordinating schedules and reservations, processing registrations and payments, maintaining accurate records, communicating with members and guests, and supporting department staff to ensure efficient operations and exceptional guest experiences.
PRIMARY RESPONSIBILITIES

Provide administrative support for the Racquet Sports department, including answering phones, responding to emails, and assisting guests and members

Coordinate court reservations, lesson bookings, clinics, leagues, tournaments, and special events

Process registrations, payments, refunds, and department-related transactions in applicable software systems

Maintain accurate records, schedules, attendance logs, reports, and filing systems

Assist with inventory tracking and ordering of office and pro shop supplies as directed

Prepare correspondence, reports, spreadsheets, and other administrative documents

Support the Racquet Sports Manager with scheduling, payroll documentation, and departmental communications

Serve as a point of contact for members, guests, instructors, and vendors, providing professional and courteous customer service

Assist with promoting department programs, events, and seasonal offerings

Maintain confidentiality of employee, member, and business information

Ensure the reception and office areas remain organized and professional

Assist with additional administrative projects and duties as assigned
MINIMUM QUALIFICATIONS:
-
Minimum of one (1) year of administrative, office support, customer service, or hospitality experience preferred

Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines

Excellent verbal and written communication skills

Proficiency in Microsoft Office (Word, Excel, Outlook) and ability to learn department-specific software.

EDUCATION, TRAINING AND EXPERIENCE GUIDELINES:
High School diploma or GED required.
PHYSICAL DEMANDS AND WORKING ENVIRONMENT:

Work is performed primarily in an office and racquet sports facility environment

Regularly required to sit, stand, walk, bend, reach, and use hands for keyboarding and office equipment

Frequent use of computers, telephones, printers, and other office equipment

Must be able to occasionally lift and carry up to 25 pounds

May occasionally work outdoors while assisting with racquet sports programs and events, with exposure to varying weather conditions

Must be able to work a flexible schedule, including evenings, weekends, and holidays as business needs require
