Overview
This position is responsible for overseeing the daily clinical and administrative operations of a small, two-provider medical clinic. The Medical Office Clinical Coordinator ensures efficient patient flow, accurate clinical support, timely follow-up, insurance verification, billing coordination, and overall organization of the practice. This role serves as the central point of coordination for both patient care and office operations.
Key ResponsibilitiesClinical Support
- Take and document vital signs accurately
- Perform venipuncture and draw laboratory specimens per provider orders
- Administer injections within scope of practice
- Prepare patients for provider visits and assist with clinical flow
- Maintain organized, clean exam rooms and clinical areas
- Ensure accurate and timely documentation in the EHR
Patient Scheduling & Follow-Up
- Schedule, confirm, and manage patient appointments
- Conduct follow-up calls related to lab results, referrals, treatment plans, and missed visits
- Communicate care instructions clearly and professionally
- Coordinate referrals, diagnostic testing, and outside services
Insurance Verification & Billing Support
- Verify patient insurance eligibility and benefits prior to visits
- Obtain and track prior authorizations when required
- Assist with medical billing processes, claims follow-up, and denial management
- Communicate with insurance companies regarding coverage, payments, and discrepancies
- Support accurate coding and documentation to ensure clean claims
Medical Office Operations
- Manage day-to-day clinic operations for a single-provider practice
- Order and maintain medical and office supplies; track inventory
- Organize paperwork, forms, authorizations, and patient records
- Ensure HIPAA compliance and proper handling of protected health information
- Maintain clinic readiness and workflow efficiency
Communication & Coordination
- Serve as the primary liaison between patients, provider, labs, pharmacies, and insurers
- Maintain professional, compassionate communication with patients and partners
- Anticipate provider needs and resolve operational issues proactively
Required Qualifications
- Experience managing or supporting a small medical clinic or private practice
- Clinical experience including venipuncture, injections, and vital signs
- Experience with insurance verification and eligibility checks
- Knowledge of medical billing and claims processes
- Strong organizational, documentation, and multitasking skills
- Excellent communication and interpersonal skills
- Ability to work independently and manage clinic operations
Preferred Qualifications
- Medical Assistant, LPN, or equivalent clinical training
- Experience with EHR systems
- Prior experience in a single-provider or small-practice setting
- Strong understanding of inventory and supply management
- Strong communication skills, and documentation
