The Boards and Commissions Division oversees the administration of 28 professional and occupational licensing boards and commissions, and approximately 100,000 individual licenses ranging from dentists and social workers to real estate brokers and cosmetologists. This position is located within the Divisions Operations Team, based out of the Department's Santa Fe office.
Each board and commission has its own set of rules and its own licensing requirements. The Governor of New Mexico appoints members to boards and commissions who work closely with the Superintendent of the New Mexico Regulation and Licensing Department to protect consumer rights while promoting good business practices and economic growth.

Why does the job exist?
The Senior Operations Support Specialist role takes the lead over the two critical needs within the Division. The first is providing reliable customer service to members of the public who call and visit the office, who are usually applying for or currently hold a professional license issued by the Division. The second primary role served by this position is to provide senior level administrative support to the operation of the Division. This includes a wide variety of different tasks including overseeing the department mail duties, work with the departments records custodians regarding the physical file and electronic record management, log and manage state issued equipment and supply inventory, prepare office space for new hires, track constituent call performance measures and, compile reports for senior management.

This position will be tasked with maintaining consistent and effective communication with Board Administrators, Licensing Staff and Senior Management, handle difficult customer situations with diplomacy in order to achieve a successful outcome, and maintain a high level knowledge of both internal policies and board processes to ensure accurate information is disseminated.
This position will serve as a primary contact for the Division, with other staff assigned to our contact center and reception area, and may be required to cover the front desk if team members are out of the office.
A few of the key responsibilities for this position are:
- learn and maintain a high-level working knowledge of the digital licensing database to assist or direct the licensee on how to navigate the on-line licensing portal.
- Assist with distribution of mail and other intra-agency communication.
- Review, audit, organize, and assist in managing retention and destruction of records and files.
- Actively participate in a staff group dedicated to ensure that staff across the Division are supported through a team approach of addressing liabilities, increasing efficiencies, and fostering a team mentality.
- May be called to assist directly with licensing teams to provide support and resources related to licensing and board administration, including assistance with public meetings, rule hearings, and other projects including website updates as needed or appropriate.
The incumbent for this position should be able to disrupt the status quo by thinking creatively on new and innovative ways to simplify processes, create efficiencies, improve how we protect health and safety and strengthen public trust and consumer confidence in professions the Division licenses and regulates.
Must be able to regularly operate a provided state vehicle for purposes of essential travel to/from locations as necessary to carry out the duties of the position.

Minimum Qualification
Associate Degree in Business Administration, Public Administration, or Accounting and one (1) year of directly related job experience in the areas of office administration, budgeting, purchasing, finance, accounting, auditing, cash management, contract management, and/or in the procedures of business and management principles involved in strategic planning. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling three (3) years may substitute for the required education and experience.
Employment Requirements
Must possess and maintain a valid Driver's License.
Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification within 90 days of employment.
Must be able to pass a background check.
Working Conditions
Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required.
Must be able to regularly operate a provided state vehicle for purposes of essential travel to/from locations as necessary to carry out the duties of the position.
