Position Summary
The Office Administrator is responsible for greeting visitors, answering, and directing incoming phone calls, handling incoming and outgoing mail and packages, process accounts payable and receivable, and providing general administrative support to the office. This position requires strong communication skills, organization, professionalism, and the ability to work effectively with both office and shop personnel.
Responsibilities
- Greet customers, vendors, and visitors in a professional and friendly manner.
- Answer incoming phone calls and direct callers to the appropriate employee or department.
- Receive and distribute incoming mail, packages, and other deliveries.
- Prepare outgoing mail, packages, and shipments as needed.
- Perform general data entry and administrative tasks.
- Prepare, organize, and maintain company documents and paperwork.
- Assist with customer orders and related documentation.
- Assist with shipping and receiving paperwork and documentation.
- Communicate with office staff and shop personnel to help coordinate daily operations.
- Maintain an organized and professional reception area and front office.
- Provide general administrative support to the company as needed.
- Follow company policies and maintain a professional and positive work environment.
Qualifications Required
- High school diploma or GED.
- Strong verbal and written communication skills.
- Basic computer skills and ability to learn company software and systems.
- Strong organizational skills and attention to detail.
- Ability to communicate professionally with customers, vendors, and employees.
- Ability to prioritize tasks and stay organized in a busy work environment.
- Dependable attendance and punctuality.
Preferred
- Previous receptionist, administrative, customer service, or accounting experience.
- Experience working in a manufacturing or machine shop environment.
- Familiarity with basic shipping and receiving documentation.
- Experience with Microsoft Office or Quickbooks.
