Overview
We are seeking a dedicated and highly organized entry level Office Assistant for our Social Work and Admissions Team as well as general Admin Office Team assistance to support our administrative operations and ensure the smooth functioning of our office environment. This position will assist with clerical and assistant type duties on our Nursing Facility campus. The ideal candidate will possess excellent communication skills, strong technical proficiency, and a proactive attitude. This role offers an opportunity to contribute to a dynamic team by managing clerical tasks, facilitating client interactions, and maintaining efficient office workflows. The Office Assistant will play a vital role in enhancing productivity and providing exceptional support across various departments and enhancing the quality of life of our residents and families.
Duties
- Greeting visitors, residents and family members, answering office calls, and interacting with callers with professionalism and courtesy. Assisting resident and family members with inquiries and needs requests. Direct interaction with residents anticipated
- Perform data entry and maintain accurate records using spreadsheets, Microsoft Office application, Electronic Health Records applications, etc.
- Assist with general administrative office tasks as needed
- Support office management activities including filing, organizing documents, copies, scanning, etc.
- Provide customer service support by addressing inquiries, scheduling appointments, and coordinating resident in house and discharge planning needs.
- Facilitate communication between clients, vendors, and team members through effective phone etiquette, email, and in personal interactions.
- Assist with specialized roles such as medical duties when needed, including patient or client related needs.
General Proficiencies Needed:
- General knowledge of an office environment with demonstrated proficiency in clerical tasks and administrative support helpful.
- General computer use ability needed. This role will be utilizing in Microsoft Office Suite (Word, Excel), email, general office software, and must be capable of gaining knowledge of our medical EHR system.
- Phone ediquitte, customer service interactions, resident and family interactions and communication skills a must.
- Organizational skills with the ability to manage time efficiently in a fast-paced setting.
- Previous roles as an administrative assistant, personal assistant, or medical/dental receptionist are advantageous for this position but not required.
- Ability to grasp on the job training specific to the Long Term Care industry.
