Position Summary
Under limited supervision, the Customer Service Representative/Receptionist provides excellent service to callers and visitors to the Aiken Housing Authority.
Major Duties and Responsibilities
- Ensures that incoming telephone calls are answered in a courteous, professional, and timely manner, and that phone calls are directed to the proper person.
- Greet and assist all visitors to the Aiken Housing Authority office in a friendly, professional manner and take messages for employees of the agency
- Assists with access to the Public Housing, Section 8, Administration, Accounting, and Community Development and Improvement Corp. areas of the building.
- Distribute information for the Section 8 and Public Housing Departments
- Accurately unset the phone at the start of each business day and/or set the phone at the conclusion of business
- Retrieve messages from answering service at the start of each business
- Retrieve messages from the general delivery and maintain an accurate communitcation log for the agency
- Assists with making copies, filing, mailings and other clerical tasks
- Promptly reports false alarms to alarm monitoring
- Accept incoming deliveries and distribute to appropriate
- Perform other duties as assigned
Knowledge, Skills, and Abilities
- Ability to read and interpret established policies and procedures
- Computer literate with thorough knowledge of Microsoft Office word processing and spreadsheet
- Thorough knowledge of modern office procedures and equipment.
- Skill in the use of PC computer, printer, FAX machine, telephone system and related office equipment.
- Knowledge of the general operations and procedures of a Public Housing Authority (PHA).
- Thorough knowledge of Public Housing and Section 8 application
- Ability to understand and follow written and oral instructions quickly and accurately
- Excellent oral and written communication
- Strong customer service orientation. Ability to relate well by phone and in person to residents, other governmental officials and the general public.
- Flexibility /Adaptability including the willingness to help where needed
- Strong prioritizing and organizing skills and accuracy in work
- Self-motivated
Physical Nature of the Position
Position requires the following physical abilities:
- Ability to sit, stand, or work bending over filing for extended periods;
- Ability to communicate well, both orally and in writing;
- Ability to carry, handle, and move file folders, delivered supplies, pens, and other common office materials;
- Ability to read and understand housing publications and related materials;
- Ability to physically operate personal computers, copiers, facsimile machines, telephones, and other common office machines and equipment.
Position may be exposed to the following on a regular basis
- Repetitive motion.
- Vision strain.
- Noise.
Minimum Qualifications
- Graduation from an accredited high school or GED equivalent, preferably supplemented by business school training or vocational courses;
- One or more years previous office experience, preferably involving considerable public contact.
- Or a combination of education, training, and experience equivalent to the above.
Special Requirements
- Possession of a valid State of South Carolina Driver's license.
- Ability to be covered under the Housing Authority's vehicle insurance policy.
- Ability to be covered under the Housing Authority's fidelity bond.
Job Type: Full-time
Pay: $12.00 - $15.00 per hour
