Overview
The Project Management Team plays a vital role in facilitating a positive relationship between the Homeowners Association Board and Colby Property Management. Negotiating and enforcing clear contracts, while maintaining positive working relationships with vendors is of utmost importance in maintaining positive Board member feedback.
Responsibilities
Assistant Project Managers shall assist the Project Manager in ensuring the timely completion of assigned projects as described below:
- Receive work project requests from Community Managers.
- Analyze project requests to:
- determine if complete scope of work has been conveyed from the Board
- request additional scope information from Community Manager if needed
- Create RFP (Request for Proposal) for distribution to Vendors with deadline for return. RFPs to contain specific metrics to be responded to.
- Receive bids in response to RFPs, and ensure all metrics were addressed in each bid.
- Create bid matrix showing alignment between metrics across all bidding Vendors. Follow up on any bid not in alignment.
- Ensure accurate and reasonable completion timeframes are provided from Vendors.
- For a given project, convey all bids, timeframes, cost, and materials to the Community Manager, ensuring that the manager understands all aspects of the bids for accurate referral to the Board.
- As needed, follow up with Vendors to answer questions relayed from the Community Manager.
- Receive notifications from Community Managers when a winning bid is selected. Notify Vendors and ensure cost and timeframe given by the Vendor are still going to be met.
- Monitor and/or follow up with Vendors during work to ensure the work is proceeding as anticipated. Communicate any changes or delays to the Community Manager at once.
- Communicate job completion to the Community Manager, and schedule onsite inspection of completed work. Attend onsite inspection as required or requested.
- Assist the Project Manager with review and vetting of new service contracts.
Qualifications
- Previous construction related experience or involvement in a related professional association is a plus.
- Familiarity of materials and construction methods used for various applications is preferred.
- Knowledgeable about construction contracts and insurance requirements.
- Flexible and works well in a fast-paced environment.
- Works well under pressure particularly when faced with unexpected events, delays, tight timelines, or urgent demands.
- Solid analytical and problem-solving skills.
- Thorough in completing tasks and focused on detail and accuracy.
- Exceptional organizational and multi-tasking abilities.

- Organizational skills: An Assistant Project Manager must be able to easily access and store many types of information daily. Quick access to available information along with the ability to comprehend contractual material is a must-have for this position.
- Time-Management skills: This position requires the ideal candidate to possess excellent time-management skills. Juggling several active projects while also being able to use discretion in determining order of importance are critical skills in being successful in this position.
- Self Motivated: Our ideal candidate should be a self-motivated individual who works well with other members of the team, but is also able to complete tasks on their own without immediate supervision.
Pay: $42,000.00 - $42,050.00 per year
