The Office Support Specialist provides administrative, operational, and customer support to ensure efficient daily office operations. This role is responsible for data entry, work order processing, documentation management, payment processing, communication with internal and external stakeholders, and continuous improvement of office workflows.
Success is demonstrated through accurate work, reliable performance, effective communication, efficient use of systems, smooth collaboration, and proactive identification of operational improvements.
During our busy pool cover season, overtime hours are expected and required.
Key Responsibilities:
· Maintain accurate data entry across business systems, work orders, customer records, and documentation.
· Process and update work orders, payments, labels, and related records.
· Ensure quality and accuracy of information entered into company systems.
· Organize and maintain office documentation and records.
· Communicate professionally with customers, vendors, and internal departments.
· Coordinate handoffs between departments to support smooth operations.
· Monitor workflow status and identify potential bottlenecks or issues.
· Recommend process improvements that increase efficiency and reduce errors.
· Support managers and team members with administrative and operational tasks as assigned.
