The Departmental Technician II position creates, monitors and maintains user accounts in various administrative systems, other with other administrative assistant duties in an office setting. This is a full-time, 1.0 FTE, Administrative Assistant position working on a 12-month schedule, reporting to the Associate Director of Enterprise Infrastructure.
Responsibilities
- Create, maintain, and monitor user accounts across Oberlin’s enterprise systems, including handling Obie ID changes, agency hires, contractors, and college and student organizations.
- Perform routine account administration and maintenance across key platforms such as Google Workspace, Okta, Active Directory, and Box.
- Coordinate ID Card Office duties, including processing new hires, alumni, and family member additions from OnBase; capturing and uploading ID photos, printing cards, and managing inventory and supply orders.
- Assist with daily operations and student scheduling.
- ID Production & Processing: Take ID photos, upload/print physical cards, and assist with new hire, alumni, and family member additions via Onbase. Prepare large sets of cards for special projects.
- Mobile & Digital Support: Assist users with mobileID activation, phone app management, and diagnosing digital card issues.
- Access Management: Process door access requests and support departments in managing delegated door access and schedule maintenance.
- Financial Operations: Perform billing reconcilements for entities including ObieBuy and Obie Dollar deposits. Prepare financial audit reports for transactions and equipment.
- Administrative & Logistics: Manage student scheduling and daily office operations. Maintain inventory for card printing supplies and accessories.
- Equipment Handling: Assist with hardware receiving, inventory, staging, and troubleshooting.
Required Qualifications
College degree or equivalent combination of experience and education, 5-7 years of progressively responsible secretarial, clerical or para-professional work experience. Keyboarding speed of 50 wpm with emphasis on accuracy. Must demonstrate skills and abilities specific to the position and excellent written and oral communication skills. Above average computer literacy. Operation of computer software in an office setting (Microsoft Office). Lifting boxes that may weigh 25 pounds.

Compensation
This Pay Group 7 Administrative Assistant position is to be filled at an hourly rate of $30.04 (annual salary approx. $58,581) or the appropriate transfer rate and includes a general benefits package.
