We are seeking a professional, organized, and customer-focused Office Administrator & Dispatcher to support the daily operations of our limousine service company. This role is responsible for handling client inquiries, coordinating transportation schedules, supporting chauffeurs and management, and ensuring efficient office operations. The ideal candidate thrives in a fast-paced environment, possesses excellent communication skills, and can manage multiple priorities while delivering exceptional customer service.
Key Responsibilities
- Answer incoming phone calls, emails, and online inquiries from clients.
- Schedule and confirm limousine reservations, airport transfers, corporate travel, special events, and other transportation services.
- Maintain accurate booking records and update reservation systems.
- Coordinate daily schedules with chauffeurs and dispatch personnel.
- Communicate trip details, schedule changes, and special client requests to drivers.
- Prepare quotes, invoices, contracts, and customer confirmations.
- Process payments and maintain accurate financial and customer records.
- Monitor upcoming reservations to ensure all transportation arrangements are complete and accurate.
- Assist with fleet documentation, vehicle maintenance records, registrations, and insurance paperwork.
- Handle customer concerns professionally and help resolve service issues.
- Maintain office files, databases, and administrative records.
- Order office supplies and support general office operations.
- Assist management with reports, data entry, and special projects as needed.
Qualifications
- High school diploma or equivalent required.
- Previous administrative, customer service, hospitality, transportation, or dispatch experience preferred.
- Strong computer skills, including Microsoft Office Suite, QuickBooks, and reservation or scheduling software.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Ability to remain calm and professional in a fast-paced environment.
- Attention to detail and accuracy in scheduling and recordkeeping.
- Ability to work independently and as part of a team.
- Professional appearance and customer-service-oriented attitude.
- Ability to work flexible hours when business demands require.
Preferred Skills
- Experience in limousine, transportation, hospitality, or travel industries.
- Familiarity with dispatching, route planning, or reservation management systems.
- Knowledge of airport transportation procedures and corporate travel arrangements.
- Basic bookkeeping and invoicing experience.
- Experience with Canva

Work Schedule
- Part to full-time position.
- Some evening, weekend, and holiday availability will be required based on business needs.
- Candidates must be willing to work a flexible schedule.
- Work Location: This position is performed onsite at our Loma, Colorado facility. Remote work is not available for this role.
