Precision Medicine & Wellness (PMW) is a cash-pay aesthetic and hormone therapy practice serving patients in Jacksonville and St. Augustine, FL. Led by Elizabeth Bagan, APRN, our practice delivers personalized, evidence-based care across medical aesthetics, GLP-1/weight management, and hormone replacement therapy — all in a boutique, patient-first environment.
We are growing and seeking a motivated, detail-oriented Medical Assistant who is also a certified phlebotomist and comfortable wearing multiple hats in a dynamic clinical and administrative setting.
Position Summary
The Medical Assistant / Phlebotomist provides direct clinical support to our APRN provider, performs venipuncture for in-office lab draws, and serves as the practice's frontline administrative presence. This role is ideal for someone who thrives in a fast-paced aesthetics environment, takes pride in patient experience, and brings both technical precision and a warm chairside manner.
Clinical Responsibilities
- Prepare and review daily patient charts in advance, ensuring all medical records, laboratory results, imaging, medications, consent forms, treatment plans, and required documentation are complete and organized to facilitate an efficient, seamless clinic experience.
- Perform venipuncture and capillary blood draws for in-office lab panels (metabolic, hormone, GLP-1 intake, etc.)
- Process, label, and coordinate specimen transport to the reference lab
- Prepare treatment rooms for aesthetic procedures (neurotoxin, dermal fillers, biostimulators, TruBody, etc.)
- Assist the provider during patient consultations and procedures while maintaining an efficient patient flow.
- Prepare, mix, and reconstitute injectables and compounded medications per provider orders
- Maintain sterile technique and OSHA/infection control standards at all times
- Clean, disinfect, and turn over treatment rooms between patients.
- Manage and restock clinical supply inventory; flag low stock for ordering
- Ensure proper storage and handling of medications, including refrigerated items
- Assist with photo documentation of patients pre- and post-treatment
- Support lab results
Clinical Responsibilities
- Serve as the primary liaison between patients and the provider by triaging patient messages, phone calls, portal communications, and clinical questions.
- Communicate provider instructions, treatment recommendations, test results, and follow-up plans accurately and compassionately to patients.
- Coordinate prescription refill requests, prior authorizations, and medication-related questions according to provider protocols.
- Act as the primary point of contact between the practice, pharmacies, compounding pharmacies, laboratory partners, and pharmaceutical representatives to ensure seamless patient care.
- Escalate urgent patient concerns to the provider promptly while independently managing routine clinical communications within established protocols.
- Maintain timely documentation of all patient communications and care coordination activities in the electronic medical record (EMR).
- Ensure all patient questions, concerns, and requests are addressed promptly while providing exceptional customer service and maintaining HIPAA compliance.
- Coordinate follow-up appointments, laboratory testing, imaging, referrals, and treatment plans to support continuity of care.
- Provide exceptional concierge-level customer service by ensuring patient questions and concerns are addressed promptly and professionally.
Administrative & Front Office Responsibilities
- Serve as the primary clinical liaison between the practice, pharmacies, compounding pharmacies, laboratory partners, and pharmaceutical representatives.
- Greet and check in patients; manage the front desk experience with professionalism and warmth
- Answer phones, respond to voicemails, and manage patient communications via HIPAA-compliant channels
- Schedule and confirm appointments; manage provider calendars and optimize daily scheduling
- Collect and process payments; explain Good Faith Estimates and cash-pay pricing to patients
- Verify and maintain accurate patient demographics, intake forms, and consent documentation
- Manage patient records in Aesthetic Record (EHR/practice management system)
- Coordinate new patient onboarding, including intake packets, portal setup, and pre-visit instructions
- Support membership and loyalty program enrollment and tracking
- Handle retail product sales and inventory at front desk
- Maintain a clean, welcoming, and organized reception and clinical environment
- Participate in team meetings, ongoing education, and cross-training initiatives.
- Perform additional clinical and administrative duties as assigned to support the success of the practice.
Qualifications — Required
- Certified Medical Assistant (CMA, RMA, or equivalent) OR Certified Phlebotomy Technician (CPT) with MA-equivalent clinical experience
- Current phlebotomy certification with demonstrated proficiency in venipuncture
- Minimum 2 years of clinical experience in a medical office, med spa, or aesthetics setting
- Strong front office and administrative skills — scheduling, phones, patient intake
- Familiarity with EHR/practice management software (Aesthetic Record experience a strong plus)
- Current CPR/BLS certification (or willingness to obtain within 30 days of hire)
- Exceptional interpersonal skills and professional appearance consistent with an upscale aesthetic practice
Qualifications — Preferred
- Experience in a cash-pay, aesthetics, or hormone therapy clinic
- Knowledge of aesthetic injectable treatments, GLP-1 protocols, or HRT programs
- Experience with Aesthetic Record (AR) or similar aesthetics-specific EHR
- Bilingual (English/Spanish) a plus
- Experience with point-of-sale systems (Clover, Square, or similar)
