Position Summary
The Staff Accountant is responsible for maintaining accurate financial records and supporting the day-to-day accounting operations of an industrial motor repair company. This role ensures financial transactions are properly recorded, customer and vendor accounts are reconciled, and financial reports are prepared in accordance with Generally Accepted Accounting Principles (GAAP). The ideal candidate has strong analytical skills, attention to detail, and experience working in a manufacturing, repair, or industrial service environment.
Essential Duties and Responsibilities
· Design, implement, and maintain effective internal controls that promote efficient operations, safeguard assets, and ensure reliable financial information in compliance with applicable laws, regulations, and policies.
· Record daily financial transactions and maintain the accuracy of the general ledger.
· Prepare monthly, quarterly, and annual financial statements, including balance sheets, income statements, and cash flow statements.
· Reconcile general ledger accounts and credit card statements.
· Review accounts payable and accounts receivable, ensuring timely payments and collections.
· Monitor receivable and payable aging and follow up with any payment or receivable issues in coordination with staff and administration.
· Record inventory-related accounting transactions, including parts, materials, and work-in-process inventory.
· Responsible for month-end and year-end closing activities, including journal entries and account reconciliations.
· Maintain fixed asset records and depreciation schedules for shop equipment, machinery, and company vehicles.
· Support budgeting, forecasting, and financial analysis to assist management in operational decision-making.
· Ensure compliance with GAAP, company policies, and applicable tax regulations.
· Compile information for internal and external audits by preparing requested financial documentation.
· Generate financial reports for management, including profitability by job, department, or customer when required.
· Identify accounting discrepancies and recommend process improvements to strengthen internal controls.
· Maintain organized financial records and support document retention requirements.
· Collaborate with administration, operations, purchasing, and service departments to ensure accurate costing and financial reporting.
· Process monthly commissions.
· Recording daily banking transactions and preparing weekly cash flow analysis.
· Prepare and submit monthly sales tax and quarterly use tax reports. Prepare annual 1099’s and reconcile to general ledger.
· Running credit checks for potential new customers and assisting with the setup of new customer and vendor accounts.
· Maintain open communication and work relationship with IT support.
Qualifications
· Bachelor’s degree in Accounting, Finance, or related field preferred.
· 2–5 years of accounting experience; manufacturing, industrial service, or repair industry experience preferred.
· Strong knowledge of GAAP and standard accounting procedures.
· Experience with accounting software and ERP systems.
· Advanced proficiency in Microsoft Excel and other Microsoft Office applications.
· Excellent analytical, organizational, and problem-solving skills.
· Strong attention to detail with the ability to manage multiple priorities and meet deadlines.
· Effective written and verbal communication skills.
· Demonstrated experience preparing monthly and annual financial statements.
· Excellent interpersonal, collaboration, conflict resolution, and negotiation skills when working with employees, vendors, customers, auditors, and other stakeholders.
Preferred Skills
· Experience with job costing, inventory accounting, and service-based accounting.
· Knowledge of fixed asset accounting and depreciation.
· Familiarity with purchase orders, work orders, and project-based billing.
· Ability to work independently while collaborating effectively with cross-functional teams.
Physical Requirements
· Ability to work in an office environment within an industrial facility.
· Occasionally visit the shop floor to review inventory, equipment, or job documentation.
· Ability to sit for extended periods and occasionally lift up to 20 pounds.
Pay: $75,000.00 - $85,000.00 per year
