The Senior Lease Administration & Transaction Specialist supports the Global Real Estate Manager in the management of the American Bureau of Shipping’s global real estate portfolio, lease commitments, and related activities.
What You Will Do:
Lease Administration and Portfolio Support
- Responsible for the lease administration application (CoStar Real Estate Manager) and ensure the accurate maintenance of lease records, critical dates, lease abstracts, rent schedules, and related documentation within the lease administration system.
- Support the administration of financial obligations associated with leased spaces, including rent obligations, operating expenses, and related payment activity.
- Review, verify, and reconcile landlord billings, payments, monthly obligations, and annual operating cost reconciliations against lease terms and financial system records.
Lease Transactions and Renewals
- Manage lease renewals and support new lease transactions for global locations, including negotiating directly with landlords.
- Evaluate the local real estate market and ensure terms are competitive.
- Review and revise lease terms, perform transaction due diligence, and coordinate with internal partners for lease review and approval.
Project and Facilities Support
- Assist Global Real Estate Manager with office-related real estate projects, including relocations, build-outs, renovations, and space turnover activities.
- Provide secondary support for facilities-related matters, coordinating with landlords, vendors, and internal stakeholders to help address day-to-day facility issues as needed.
General Support
Provide administrative and coordination support to the Global Manager of Facilities and Real Estate and assist with other related duties as assigned.
What You Will Need:
Education and Experience
- Bachelor's degree or equivalent required
- 3+ years of real estate experience in Corporate or Commercial Real Estate
- Experience with lease negotiatioensuringthe ns required, including net present value and cash flow modeling.
Professional certification in commercial real estate, lease administration, property management, or facilities management is preferred e.g., CoreNet, BOMA

- Knowledge of corporate real estate functions
- Knowledge of standard lease terms and conditions
- Experience with lease negotiations
- Intermediate knowledge of Microsoft Office products including Excel, PowerPoint, Word and SharePoint.
- Experience using large language models (e.g., ChatGPT) in daily tasks
