Position Description: Receptionist
The receptionist serves as the first point of contact for patients and visitors, providing exceptional customer service, and administrative support to ensure efficient clinic operations. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
- Greet patients and visitors with a warm and welcoming demeanor.
- Answer incoming calls, schedule appointments, and assist with inquiries regarding clinic services, hours of operation and insurance coverage.
- Check patients in and out for appointments, verify demographic and insurance information and collect copayments or outstanding balances as needed.
- Coordinate patient appointments using the clinic’s scheduling system, ensuring accurate documentation of appointment details and follow-up instructions.
- Confirm upcoming appointments via phone, email and reschedule appointments as necessary to accommodate patient needs and clinic availability.
- Enter new patient information into the electronic health record system, ensuring accuracy and completeness of demographic and insurance data. Maintain up to date patient records by reviewing and deleting previous recalls as needed.
- Maintain patient records, including updating personal information, scanning documents and filing paperwork in accordance with HIPAA regulations.
- Review each patient account and update recall. Confirm appointment location to ensure customer gets reminder calls, text, and/or emails
- Assist clinical staff with administrative tasks such as preparing patient charts, organizing medical records, and coordinating referrals to specialists.
- Pull vision insurance authorizations manually and bill after appointments.
- Complete contact lens orders
- Collaborate with other team members to ensure seamless patient flow and efficient clinic operations.
- Check voicemails and electronic faxes regularly throughout the day, and ensure there is a prompt response
- 1 day prior to appointments call patients to confirm their appointment
- Open mail, apply patient payment to their accounts and ensure all other documents get scanned or given to the correct person for next steps
- Open Weave to respond to text messages and maintain faxes
- Responsible for maintaining accurate daily deposit, collection of credit card receipts, cash and checks to ensure end of the day balance.
- Efficiently handling the rescheduling of existing appointments, and blocking off the schedule based of the Dr’s time-off
- Maintain the cleanliness of the waiting room, and receptionist desk. Wipe down the dispensing desk, chairs, table and front desk periodically throughout the day.

Experience
- Proficiency in optometry setting
- Experience with electronic health record systems is a plus
- Strong clerical skills with attention to detail
- Bilingual proficiency is advantageous
- Ability to type accurately, including 10-key typing skills

Pay: $16.00 - $20.00 per hour
