Position Overview
The Accounting & Administrative Coordinator will support the day-to-day accounting and administrative operations of the company. This position is responsible for managing routine Accounts Receivable, assisting with Accounts Payable, maintaining job costing information, supporting payroll preparation, and helping ensure our office runs efficiently.
This is an excellent opportunity for someone who enjoys accounting, organization, and process improvement while working in a growing company. We are preferably seeking someone with experience in the construction or contracting industry who understands the fast-paced environment and accounting processes that support project-based operations.
Key Responsibilities
Accounts Receivable
- Prepare recurring monthly invoices.
- Generate standard customer invoices.
- Monitor customer account balances and aging reports.
- Follow up with customers regarding outstanding invoices through phone calls and email.
- Maintain accurate customer account records.
Accounts Payable
- Enter vendor invoices accurately and timely.
- Assist with coding invoices and obtaining approvals.
- Support weekly check runs.
- Maintain organized vendor files and documentation.
Payroll Support
- Prepare weekly employee timecards.
- Enter payroll information into company spreadsheets.
- Verify hours and job allocations prior to payroll processing.
- Assist with payroll-related administrative tasks.
Job Costing
- Assign labor and material costs to the appropriate jobs.
- Assist in maintaining accurate job costing records.
- Verify coding of invoices, payroll, and expenses.
Credit Card Administration
- Reconcile company credit card transactions.
- Collect and organize receipts.
- Code expenses accurately and follow up on missing documentation.
- Implement security measures to eliminate fraudulent activity.
Administrative Support
- Maintain electronic and paper filing systems.
- Assist with data entry and reporting.
- Support accounting, operations, and management with administrative projects.
- Help improve office organization and accounting processes.
What We're Looking For
- 3+ years of accounting, bookkeeping, or office administration experience.
- Experience with Accounts Receivable and Accounts Payable.
- Experience in the construction, landscape, or related contracting industry is strongly preferred.
- Comfortable communicating professionally with customers regarding outstanding balances.
- Strong attention to detail and organizational skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency in Microsoft Excel and Microsoft Office.
- Experience with QuickBooks (Desktop or Online) is required.
- Strong written and verbal communication skills.
- Positive attitude with a willingness to learn.
- A desire to take ownership, grow professionally, and expand into a larger accounting role over time.
- Bilingual (English/Spanish) is a plus.
