Position Overview
We are seeking a professional, organized, and patient-focused Dental Front Desk / Patient Coordinator to join our dental practice. This position is responsible for providing exceptional customer service, managing patient appointments, handling inbound and outbound calls, coordinating implant-related patient communication, and verifying dental insurance benefits and coverage.
The ideal candidate is confident communicating with patients by phone and in person, understands dental insurance terminology, and can accurately obtain and explain insurance benefit information to both patients and the dental team.
Key Responsibilities
Front Desk & Patient Scheduling
- Greet and assist patients in a professional, friendly, and welcoming manner.
- Answer and manage inbound patient calls promptly and professionally.
- Schedule, confirm, reschedule, and cancel dental appointments.
- Follow up with patients regarding upcoming appointments, treatment plans, and outstanding scheduling needs.
- Maintain an organized appointment schedule and help maximize provider productivity.
- Collect patient information, update demographics, and maintain accurate records.
- Check patients in and out and assist with payment collection when needed.
Outbound Calls & Patient Follow-Up
- Make outbound calls to current and prospective patients regarding appointments and treatment.
- Conduct follow-up calls related to dental implants, including consultations, treatment interest, scheduling, and patient questions.
- Follow up with patients who have not yet scheduled recommended treatment.
- Contact patients regarding unscheduled or incomplete treatment plans.
- Communicate professionally and compassionately with patients throughout the treatment process.
- Document all patient communications and follow-up activities accurately.
Dental Insurance Verification
- Verify patients' dental insurance eligibility and benefits prior to appointments.
- Contact insurance companies by phone and/or through online portals to obtain accurate benefit information.
- Obtain a detailed breakdown of benefits (DOB), including:
- Preventive, basic, and major services
- Annual maximums
- Deductibles and remaining deductibles
- Waiting periods
- Frequency limitations
- Percentage of coverage
- Missing tooth clauses
- Downgrades and exclusions
- Implant coverage and limitations
- Periodontal coverage
- Orthodontic benefits when applicable
- Preauthorization or predetermination requirements
- Accurately document insurance benefits, limitations, and coverage information in the patient's account.
- Communicate insurance information clearly to patients and help them understand their estimated financial responsibility.
- Identify discrepancies or unclear insurance information and follow up with the insurance carrier when necessary.
- Work closely with the dental team to ensure treatment and insurance information is accurate before procedures are scheduled.
Required Skills & Qualifications
- Previous experience in a dental front office, dental reception, or dental patient coordinator role preferred.
- Strong understanding of dental insurance verification and benefit breakdowns.
- Experience communicating with dental insurance companies is highly preferred.
- Excellent verbal and written communication skills.
- Comfortable handling a high volume of inbound and outbound calls.
- Strong telephone etiquette and customer service skills.
- Ability to discuss dental treatment, including implant-related services, professionally and confidently.
- Excellent organizational and multitasking abilities.
- Strong attention to detail and accuracy.
- Ability to maintain patient confidentiality and follow HIPAA requirements.
- Comfortable learning and using dental practice management software.
- Professional, positive, dependable, and team-oriented attitude.
Preferred Experience
- Experience verifying PPO dental insurance benefits.
- Experience with implant consultations and implant treatment coordination.
- Experience obtaining detailed insurance breakdowns and estimating patient portions.
- Experience with dental scheduling and treatment-plan follow-up.
- Familiarity with dental terminology, CDT codes, and insurance terminology.
- Experience using dental practice management systems such as Dentrix, Eaglesoft, Open Dental, or similar software.
