The USA Branch Administrator is a broad support role responsible for keeping the US operation running smoothly behind the scenes. This person will work directly across Operations, Estimating, HSE, and the Fabrication Shop, handling the administrative load that is currently distributed across the team. The right candidate is organized, self-directed, and comfortable working in a fast-moving construction and field services environment.

- Assist in maintaining contractor compliance platforms including ISNetworld, Veriforce, DISA DCM, Alert, and others as required
- Review and schedule employee safety course orientations prior to field dispatch to ensure client compliance
- Schedule staff to complete safety courses, customer orientations, and competencies required to maintain platform standing
- Manage inventory of safety materials, ordering when required
- Assist with onboarding of new hires including documentation, platform enrollment, D&A testing, and orientation coordination
- Build, process, and track job packages for submission to Accounts Receivable
- Enter load tallies, bills of lading, and field tickets into internal systems
- Support document control, organize project files, upload schedules and project documents to internal reporting systems
- Assist with vendor follow-ups, purchasing paperwork, and routine procurement coordination
- Coordinate freight, deliveries, and logistics as required
- Book crew accommodations and manage travel arrangements for field mobilizations
- Order PPE and office supplies through approved vendors
- Assist with call answering and dispatch coordination when volume requires
- Support the estimating-to-production handoff process - ensuring documents and project information are uploaded to central file locations at bid submission as needed
- Provide general administrative coverage when operations staff are in the field
- All other duties as assigned
- High school diploma required; Administrative Professional certificate or diploma an asset
- 2+ years in construction, field services, or logistics administration
- Proficiency in Microsoft Office Suite required
- Experience with contractor compliance platforms (ISNetworld, Veriforce, DISA DCM, or similar) strongly preferred
- Comfortable managing multiple priorities independently in a lean team environment
- Strong attention to detail and follow-through on open items
- Experience supporting field operations or project-based work an asset
