Position Overview
The Training Support Coordinator plays a key role in ensuring the smooth execution of our training programs and daily operations. As part of a small, highly collaborative team, this role supports both internal coordination and external training logistics.

Key Responsibilities Include (but are not limited to)
Training & Logistics Coordination
- Follow established training checklists to ensure all workshop details are organized and completed on time
- Prepare, organize, and ship training materials to workshop locations
- Book travel arrangements (flights, hotels, rental cars) and create clear travel itineraries and folders
- Track training schedules, key deadlines, and logistical details
- Support the execution of both in-person and virtual training programs
Administrative & Office Support
- Scan, file, and organize documents across shared systems
- Maintain overall office organization and support day-to-day operations
- Order office and training supplies and track inventory
- Manage document handling processes, including shredding and filing
- Provide general administrative support across the team as needs evolve
Scheduling & Coordination
- Manage calendars and assist with scheduling internal and external meetings
- Coordinate team meetings and support internal communication
- Track industry events, relevant announcements, and participation timelines
Data & Systems Support
- Maintain accurate data in the CRM (Zoho), including contacts and participant records
- Update marketing pipelines and assist in tracking program activity
- Organize and track receipts in support of accounts payable processes
Qualifications
- Strong organizational and time-management skills
- High attention to detail with the ability to follow structured processes
- Proactive mindset with a willingness to take initiative and ownership
- Ability to manage multiple priorities and adapt in a dynamic environment
- Comfort working both independently and collaboratively in a small team setting
- Basic proficiency with Microsoft Office, shared drives, and online tools
- Ability to learn CRM systems
- Strong written and verbal communication skills
- Prior administrative, coordination, or operations experience (at least one year)
