We are seeking a dynamic and highly organized Office Assistant / Administrative Coordinator to join our team! The Office Assistant will play a vital role in the daily operations of our office by providing administrative support, delivering exceptional customer service, assisting with recruiting, and ensuring our families and caregivers receive a first-class experience. This vital role ensures the smooth operation of daily office activities, providing exceptional support to staff and visitors alike. You will be the first point of contact, coordinating schedules, and handling essential administrative tasks with energy and professionalism. Your proactive approach will help foster an efficient, welcoming environment that keeps our office running seamlessly.
Time & Locations:
Mon-Fri from 8 AM to 5 PM in the Decatur office. With occasional commute to the Marietta Location (3330 Cumberland Blvd SE Suite 500, Atlanta, GA 30339)
Responsibilities
- Answer incoming phone calls and respond to emails professionally and promptly.
- Greet and assist clients, caregivers, and visitors.
- Schedule consultations, interviews, and meetings.
- Maintain accurate client and caregiver records.
- Assist with recruiting, screening, and onboarding caregivers.
- Manage calendars and office scheduling.
- Prepare documents, reports, and correspondence.
- Follow up with prospective families and candidates.
- Assist with social media updates and online job postings.
- Maintain confidentiality of client and employee information.
- Perform general office duties, including filing, scanning, copying, and organizing records.
- Support management with special projects and daily business operations.
Requirements
- Minimum of 2 years of administrative or office assistant experience.
- Excellent customer service and communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
- Comfortable learning new software and databases.
- Professional phone etiquette and a positive attitude.
- Ability to work independently while also being a team player.
- Strong attention to detail and excellent time management.
- High School Diploma required; Associate's or Bachelor's degree preferred.
