Hawaii Coastal Property Management is hiring a reliable, detail-oriented On-Site Building Manager to run the daily operations of a 23-story, 176-unit residential condominium in Honolulu. This is a hands-on building operations role, not a leasing role: there is no apartment leasing, tenant screening, or sales involved. You are the on-site presence who keeps the building safe, clean, well-maintained, and running smoothly. You will conduct daily walk-throughs, oversee building systems and vendors, manage access control and security coordination, administer the association's meeting room, and serve as a courteous point of contact for residents during coverage hours. You will work under HCPM corporate supervision, with HCPM's principal broker serving as the conduit to the association's board.
Key Responsibilities
Daily Building Operations
- Conduct daily building walk-throughs and keep documented digital issue logs.
- Maintain a visible presence in the lobby and common areas during scheduled coverage hours.
- Monitor trash chute and recycling areas; coordinate package delivery and mailroom oversight.
- Monitor and enforce the building's guest parking policy.
- Coordinate with building security on perimeter safety and deterrence as conditions require.
Security and Access Control
- Monitor CCTV from the manager's and security offices.
- Manage key fob access for building and elevator entry.
- Support garage security, the board-approved garage gate program, and stairwell and perimeter monitoring.
Building Systems and Maintenance
- Oversee mechanical systems, including monthly generator test runs with documentation, pump room monitoring, and elevator room HVAC coordination with the elevator vendor.
- Maintain working familiarity with the fire sprinkler system, including floor-level isolation procedures.
- Maintain a preventive maintenance calendar covering roof, paint, plumbing, dryer vents, generator, fire systems, and elevator, and coordinate a building-wide dryer vent cleanout program.
Vendor Coordination
- Oversee existing vendor relationships (trash, roofing, elevator, plumbing, and others).
- Administer competitive bids and RFPs for capital projects, subject to board approval.
Resident Relations and Meeting Room Administration
- Serve as a courteous, responsive point of contact for resident inquiries during business hours.
- Administer the association's reservable meeting room: reservation scheduling, deposit tracking, post-event inspections, and cleanup-standard enforcement.
- Handle resident and vendor concerns professionally and resolve them promptly.
Reporting and Technology
- Document inspections with photos using digital checklists and the AppFolio platform.
- Keep the live online project tracker current for board visibility into open items and requests.
- Participate in after-hours emergency response coordination for threats to life, safety, or property.
Requirements
Required
- Strong documentation and reporting discipline; comfortable learning property management software
- Excellent customer service, professional phone etiquette, and conflict-resolution skills.
- Dependability for scheduled coverage and willingness to support after-hours emergency response.
- Commitment to fair housing and equal treatment of all residents and guests, consistent with HRS Chapter 514B, the Americans with Disabilities Act, and federal and Hawaii fair housing laws.
Preferred
- Prior Hawaii AOAO or high-rise condominium experience.
- Familiarity with HRS Chapter 514B and condominium house-rule administration.
- Vendor management and RFP/competitive-bid coordination experience.
- Relevant certifications in fire/life safety or building maintenance.
Physical and Working Conditions
- Ability to perform walk-throughs of a 23-story building, including elevators, stairwells and mechanical and pump rooms, and to move about the property on foot during coverage hours.
