Position Summary
This is a part time position averaging 16 hours per week. As the first point of contact for our practice, you will play a key role in creating an exceptional patient experience. You will answer phones, schedule appointments, communicate with patients, manage follow ups, maintain inventory, and help keep our office running smoothly.
This position is ideal for someone who enjoys interacting with people, pays close attention to detail, and takes pride in providing outstanding customer service.
Responsibilities
- Welcome patients with warmth and professionalism.
- Answer incoming phone calls and respond to patient questions.
- Schedule, confirm, and reschedule appointments.
- Respond to emails, text messages, and online inquiries promptly.
- Perform patient follow up calls after appointments and treatments.
- Help patients understand treatment recommendations and scheduling.
- Maintain accurate patient records within our electronic medical record system.
- Organize and monitor office and treatment room inventory.
- Restock supplies and notify management when products need to be ordered.
- Keep the reception area clean, organized, and inviting.
- Collect patient payments and assist with checkout.
- Support the clinical team with administrative tasks as needed.
- Help ensure every patient leaves feeling cared for and appreciated.
Qualifications
- Fluent in both English and Spanish (required).
- Previous front desk, customer service, medical office, dental office, spa, or hospitality experience preferred.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Comfortable answering phones and managing multiple priorities.
- Positive attitude with a genuine passion for helping others.
- Professional appearance and demeanor.
- Reliable, punctual, and dependable.
- Comfortable using computers and learning new software.
- Experience with electronic medical records or scheduling software is a plus.
