Job Description:
The Legal Administrative Assistant provides administrative support including ensuring documents, records, and transactions are organized and completed accurately. This position plays a key role in managing files, coordinating legal documentation, tracking transaction activity, and assisting with day-to-day departmental operations.
The ideal candidate is highly organized, detail-oriented, possesses strong written communication skills, and enjoys working in a fast-paced professional setting.
Key Responsibilities:
- Coordinate, organize, and maintain transaction and legal files throughout the lifecycle of acquisitions, dispositions, and development projects.
- Prepare correspondence, closing notifications, engagement letters, and other administrative documentation.
- Assist with assembling and tracking due diligence materials to support real estate transactions.
- Maintain accurate electronic and physical filing systems for legal and transaction records.
- Monitor transaction timelines and follow up on outstanding documentation to ensure deadlines are met.
- Prepare and organize closing binders while tracking post-closing requirements.
- Support document routing and maintain internal legal templates and standardized forms.
- Update internal databases, trackers, and records with accuracy and attention to detail.
- Assist with records retention, document management, and department compliance procedures.
- Provide administrative support to legal leadership and due diligence professionals as needed.
Qualifications:
- Previous administrative, legal assistant, legal secretary, or document management experience preferred.
- Exposure to a legal office, law firm, real estate, or corporate legal department is highly desirable.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to prioritize multiple assignments.
- High level of accuracy and attention to detail.
- Proficiency in Microsoft Office, including Word, Excel, and Outlook.
- Ability to handle confidential information with professionalism and discretion.
- Positive attitude with a willingness to learn and contribute to a collaborative team.
