WELNOX Studio is seeking a friendly, organized, and detail-oriented Dental Office Manager & Receptionist to join our team. Duties
- Greet patients warmly, verify insurance coverage, and facilitate patient intake processes using dental terminology and EHR systems such as Dentrix or Eaglesoft
- Schedule appointments accurately utilizing medical scheduling software, manage multi-line phone systems, and maintain efficient front desk operations with professional phone etiquette and typing skills
- Verify insurance benefits, perform insurance verification, and assist with billing processes including medical collection procedures and Medicare claims when applicable
- Process all patient payments accurately, including in-office, online, and over-the-phone transactions.
- Set up, monitor, and manage payment plans according to the treatment agreements, ensuring timely collections and proper documentation.
- Provide patients with clear explanations of their balances, payment schedules, and available financing options.
- Submit, track, and follow up on all insurance claims to ensure timely reimbursement.
- Verify patient insurance coverage, benefits, and eligibility prior to treatment.
- Reconcile insurance payments with patient accounts and handle any discrepancies or appeals as needed.
- Review and update patient records ensuring compliance with HIPAA regulations and proper documentation review for accuracy in medical records management
- Assist with office management tasks such as filing, maintaining medical records, and managing clinic supplies to ensure a well-organized workspace
- Coordinate with clinical staff to support care plans, document review, CPT coding, ICD-9/10 coding, and ensure proper documentation for billing purposes
- Utilize computer skills across platforms like Microsoft Office, Meditech, Epic, eClinicalWorks, Athenahealth, or other EMR/EHR systems to streamline administrative workflows
Experience
- Proven experience as a Medical Receptionist or Office Coordinator in a dental or healthcare setting with at least one year of clinic experience preferred
- Strong knowledge of dental terminology, medical terminology, ICD-9/10 coding, CPT coding, and medical billing procedures
- Familiarity with EMR systems such as Dentrix, Eaglesoft, Meditech, Epic, or Athenahealth is highly desirable
- Demonstrated ability to handle insurance verification processes including Medicare and other third-party payers
- Excellent customer service skills combined with professional phone etiquette and multi-line phone system operation
- Proficiency in computer applications including Microsoft Office suite and typing skills (10 key typing) for efficient data entry
- Bilingual abilities are a plus to effectively communicate with diverse patient populations
- Previous office management or clerical experience in a healthcare environment will be advantageous
