Position Summary
The Administrative Assistant provides administrative support that helps Little Dreamers Early Learning Center operate efficiently and deliver an exceptional experience for children, families, and staff.
Working behind the scenes, this role supports the administrative team by managing correspondence, organizing records, maintaining compliance documentation, coordinating administrative processes, supporting marketing initiatives, and assisting with center-wide projects and events.

Essential ResponsibilitiesFamily Communication & Administrative Support
- Serve as a primary point of communication for prospective and enrolled families through email, phone, and other digital communication platforms.
- Respond promptly and professionally to family inquiries while providing outstanding customer service.
- Assist with enrollment correspondence, scheduling tours, sending enrollment packets, family follow-up, and maintaining family records.
- Draft, proofread, and distribute professional correspondence to prospective families, enrolled families, staff, vendors, and community partners.
- Support the administrative team with general office operations and daily administrative tasks.
- Perform accurate data entry while maintaining organized digital and physical filing systems.
- Maintain confidential child, family, employee, and business records.
- Assist with billing support, document preparation, copying, scanning, filing, and other office responsibilities.
- Order office and classroom supplies and assist with inventory management.
Organization & Compliance
- Assist the administrative team in maintaining organized systems, files, classroom documentation, and office workflows that support the weekly operations of the center.
- Ensure enrollment files, classroom documentation, licensing records, and compliance paperwork remain current, accurate, and organized.
- Maintain digital file organization and document management systems.
- Support the implementation and maintenance of systems that improve organization, efficiency, and workflow.
- Operate effectively under deadlines while managing multiple projects and competing priorities.
- Demonstrate solution-oriented problem-solving skills and exercise sound judgment in daily responsibilities.
- Work independently with initiative while collaborating closely with the administrative team and seeking guidance when appropriate.
Marketing & Community Engagement
- Assist with the development of marketing materials and promotional initiatives.
- Support Little Dreamers' social media presence through content creation, photography, video, newsletters, and community engagement.
- Assist with planning, preparation, setup, execution, and cleanup of family events, enrollment events, community outreach activities, resource fairs, and other early childhood education initiatives.
- Represent Little Dreamers professionally during community events and outreach opportunities.
QualificationsRequired Qualifications
- High school diploma or GED.
- Previous experience in an administrative, receptionist, office support, or customer service role.
- Outstanding customer service and interpersonal skills.
- Excellent written and verbal communication skills.
- Exceptional grammar, proofreading, and professional writing abilities.
- Strong organizational and time-management skills.
- High proficiency with Microsoft Office, Google Workspace, email platforms, and general office technology.
- Ability to quickly learn new software and digital systems.
- Excellent attention to detail with the ability to manage multiple priorities.
- Ability to work effectively in a fast-paced environment.
- Ability to meet deadlines while maintaining accuracy.
- Solution-oriented problem-solving skills.
- Self-motivated, proactive, and able to work with minimal supervision.
- Ability to maintain confidentiality and handle sensitive information with professionalism and discretion.
- Reliable personal transportation and a valid driver's license.
- Ability to travel locally for meetings, community events, outreach opportunities, and trainings as needed (approved mileage reimbursed).
- Ability to meet all State of Michigan licensing requirements, including successful completion of required background checks.
Preferred Qualifications
- Experience working in early childhood education, education, healthcare, nonprofit, or similar environments.
- Experience with childcare management software, QuickBooks, or other administrative software (Mac, PC and Excel)

Working Conditions
- In-person
- Must be able to lift up to 45lbs
- Ability to move throughout the center and provide occasional classroom support.
- Flexibility to occasionally work evenings or weekends for family events, trainings, or community outreach with advance notice.
- Local travel may occasionally be required for conferences, meetings, recruitment activities, community outreach, and special events. Approved mileage will be reimbursed at the current IRS standard mileage reimbursement rate.
