About Us
We Care Orange County prevents homelessness by helping people in crisis obtain the resources and services they need to remain housed and return to self-sufficiency. Through emergency financial assistance, a client-choice food pantry, and case management, we serve families across Northwest Orange County with dignity and compassion.
Our CEO is the sole employee, with all support currently provided by volunteers and interns. Our organization is growing and we are looking for an additional team member to support the CEO as we serve even more people in need.
Position
We are seeking a highly organized and proactive Executive Assistant to assist our CEO with administrative, office management and occasional operational tasks.
The ideal candidate will be energetic, detail-oriented, flexible, and possess excellent communication skills, ensuring smooth daily operations and efficient workflow. Bilingual abilities are a plus, enabling effective communication with diverse stakeholders. This position is perfect for someone passionate about providing exceptional customer service and supporting organizational success through meticulous administrative support.
Responsibilities
- Manage calendar schedules, coordinate meetings, and organize appointments for CEO.
- Serve as the first point of contact at the front desk, greeting visitors and handling phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to ensure accuracy and confidentiality across all administrative tasks
- Utilize Microsoft Office Suite, and other computer skills to prepare reports, presentations, and correspondence
- Oversee office management duties including supply inventory, equipment maintenance, and general clerical support to maintain a productive work environment
- Provide exceptional customer support through phone etiquette, email correspondence, and in-person interactions while maintaining organizational skills and time management.
- Assist with operations as needed. This may include food pantry operations, volunteer coordination, and community outreach.
Qualifications
- A strong background in administrative support, office experience and customer service
- Demonstrated proficiency with computer literacy including Microsoft Office (Word, Excel, PowerPoint), data entry, and filing systems
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Strong typing skills coupled with attention to detail for proofreading and document accuracy.
- Bilingual abilities are preferred to facilitate communication across diverse groups
