Job Title: Firm Administrator / Controller
Position Summary
The Firm Administrator / Controller is responsible for overseeing the financial management and day-to-day administrative operations of our firm. This role combines accounting, financial reporting, and budgeting functions with human resources and operational leadership to support a law firm of approximately 25 attorneys and 12 staff members. The position works closely with firm leadership to ensure efficient operations, financial integrity, and a positive workplace environment.
Key Responsibilities
Financial Management & Accounting
- Manage all accounting functions, including general ledger, accounts payable/receivable, payroll, and trust accounting.
- Prepare monthly, quarterly, and annual financial statements and reports for firm leadership.
- Develop and monitor firm budgets, forecasts, and cash flow projections.
- Oversee billing and collections processes, ensuring timely invoicing and follow-up.
- Coordinate with outside accountants regarding tax preparation and compliance.
- Coordinate with outside advisors regarding the firm’s profit-sharing plan.
- Maintain internal controls and ensure adherence to accounting best practices and legal industry requirements.
Human Resources & Personnel Management
- Administer employee onboarding and orientation processes for attorneys and staff.
- In conjunction with the Managing Partner, coordinate and support employee performance reviews and evaluations.
- Maintain personnel records and ensure compliance with employment laws and firm policies.
- Oversee benefits administration, including health insurance, retirement plans, and leave tracking.
- Assist with recruiting, interviewing, and hiring processes.
- Address employee relations issues and support a positive workplace culture.
Firm Operations & Administration
- Oversee daily administrative operations to ensure efficiency and effectiveness.
- Supervise administrative staff and support personnel.
- Manage vendor relationships, contracts, and office services (IT, facilities, equipment).
- Develop and implement firm policies and procedures.
- Support firm leadership with strategic planning and operational improvements.
Compliance & Risk Management
- Ensure compliance with applicable legal, financial, and employment regulations.
- Maintain confidentiality of financial and personnel information.
- Assist with audits and implement recommendations as needed.
Qualifications
Education & Experience
- Bachelor’s degree in Accounting, Finance, or related field (required).
- CPA or advanced degree preferred.
- Minimum of 5–8 years of accounting or financial management experience.
- Previous experience in a law firm or professional services environment strongly preferred.
- Experience with HR functions and personnel administration.
Skills & Competencies
- Strong knowledge of accounting principles and financial reporting.
- Familiarity with legal billing systems and trust accounting practices preferred.
- Excellent organizational, leadership, and problem-solving skills.
- Strong interpersonal and communication abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- High level of integrity and discretion when handling confidential information.
Reporting Structure
- Reports to: Managing Partner / Executive Committee
- Supervises: Administrative and support staff
Compensation & Benefits
- Salary Range: $140,000 – $160,000 per year, depending on experience
