Client Relationship Specialist — Growth Opportunity Into Clinic Leadership KODA Physical Therapy and Sports Performance | Petaluma, CA | Full-Time
We're not just hiring a Client Relationship Specialist. We're looking for the person who is willing to grow with our company.
Company Description KODA Physical Therapy and Sports Performance is dedicated to helping individuals relieve pain, restore function, and promote long-term wellness. Our team prioritizes a patient-first mentality, open and honest communication, and a strong sense of teamwork. Our therapists focus on understanding each person as an individual, recognizing how pain and injury impact daily activities and meaningful life pursuits. We collaborate continuously to achieve the best possible outcomes and support patients in returning to the activities and lifestyle they value most. We're grateful for every person who considers our clinic for care, and we're committed to helping our patients — and our team — reach their goals.
No previous medical office experience necessary. We can teach insurance verification, scheduling systems, and billing processes. What we can't teach is a great attitude, high personal standards, and a genuine desire to take care of people. If you've got those, we want to talk to you — whether you're coming from healthcare, hospitality, retail, or anywhere else you learned how to treat people right.
This Role Comes With Room to Grow Our current Operations Manager is actively looking to develop someone into a future leadership role within the clinic. This isn't "just a front desk job" — it's the first step for the right person who wants more than a paycheck.
Role Description The Client Relationship Specialist is a full-time, on-site role responsible for welcoming patients, managing check-in and check-out, and ensuring a smooth, positive experience throughout each visit. Daily responsibilities include:
- Answering phone calls and emails, scheduling and confirming appointments
- Processing patient information and maintaining accurate records
- Addressing questions about services, insurance, and billing in coordination with our clinical and administrative teams
- Gathering feedback to improve patient satisfaction and proactively resolving issues or concerns
- Coordinating with therapists to support daily clinic operations
- Reinforcing our patient-first culture and helping promote KODA's mission of restoring function and well-being
- Manage the day to day operations of the clinic
Who We're Looking For:
- Someone with a genuinely positive attitude and strong people skills
- Someone with high personal standards — the kind of person who does things right even when no one's watching
- Someone who's flexible and comfortable with change as we continue to grow
- Someone with strong attention to detail and real follow-through
- Someone who can work independently but also thrives as part of a team
- Someone who's punctual, dependable, and looking for a long-term home — not a stepping stone
- Bonus: fluent in Spanish
