Front Office Admission Clerk
Position Summary
The Front Office Admission Clerk serves as the first point of contact for patients and
visitors to the urology practice. This position is responsible for patient registration,
appointment scheduling, insurance verification, and ensuring efficient front office
operations while providing exceptional customer service in a professional and
confidential healthcare environment.
Essential Duties and Responsibilities
Patient Reception and Registration
Greet patients and visitors in a courteous and professional manner.
Check patients in and out for appointments.
Obtain and update demographic, insurance, and medical information.
Verify patient identity and collect required documentation.
Ensure all patient registration forms and consents are completed accurately.
Appointment Scheduling
Schedule, reschedule, and confirm patient appointments.
Coordinate provider schedules, procedures, and follow-up visits.
Manage appointment cancellations and wait lists.
Communicate appointment instructions and preparation requirements to patients.
Insurance and Financial Responsibilities
Verify insurance eligibility and benefits prior to appointments.
Obtain prior authorizations and referrals as required.
Collect copayments, deductibles, and outstanding balances.
Explain financial policies and payment options to patients.
Reconcile daily cash receipts and prepare deposits as assigned.
Medical Records and Documentation
Maintain accurate patient records within the electronic health record (EHR)
system.
Scan, upload, and file patient documents promptly.
Process medical record requests in compliance with HIPAA regulations.
Ensure confidentiality of all patient information.
Communication and Coordination
Answer incoming telephone calls and route messages appropriately.
Respond to patient inquiries regarding appointments, referrals, and general clinic
information.
Coordinate communication between patients, providers, nursing staff, and
outside facilities.
Assist with referral management and specialty procedure scheduling.
Qualifications
High school diploma or GED required.
Minimum of one (1) year of medical office experience preferred; urology
experience preferred.
Knowledge of medical terminology and insurance processes preferred.
Experience with electronic health record (EHR) systems.
Proficiency in Microsoft Office applications.

Typical Work Schedule
Part-Time/Full-time, 24-36 hours per week.
Monday through Friday, with hours determined by clinic operations.
