Responsibilities
- Respond promptly and courteously to customer inquiries via phone, email, or in person using multi-line phone systems and excellent phone etiquette
- Manage appointment scheduling, calendar management, and follow-up communications to ensure smooth daily operations
- Maintain accurate records through data entry, filing, and proofreading of documents using productivity software such as Microsoft Office and Google Workspace
- Assist with office management tasks including filing, organizing supplies, and supporting administrative functions like bookkeeping with QuickBooks
- Provide front desk support by greeting visitors, answering questions, and directing clients to appropriate departments or personnel
- Support medical or dental reception duties as needed, including handling patient check-ins and verifying insurance information
- Demonstrate technical proficiency by navigating office management systems, maintaining computer literacy, and managing office equipment efficiently
Skills
- Proven experience in customer service roles with strong communication skills and professionalism
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and productivity software
- Familiarity with QuickBooks for bookkeeping and financial recordkeeping
- Ability to operate multi-line phone systems with excellent phone etiquette
- Bilingual abilities are highly valued to serve diverse customer needs effectively
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Office management experience including clerical tasks such as filing, proofreading, data entry, and calendar management
- Knowledge of medical or dental receptionist procedures is a plus but not required
- Personal assistant experience or front desk support background enhances suitability for this role
- Demonstrated time management skills to prioritize tasks effectively while maintaining high productivity levels
