Position Overview
We are seeking a detail oriented and hospitality minded Front Office Coordinator to manage the daily flow of the clinic and ensure a seamless experience for both clients and providers.
Key Responsibilities

Front Desk Operations (Primary Focus)

Greet and check in clients, creating a professional and welcoming environment

Manage daily scheduling, appointment confirmations, and calendar coordination

Oversee client flow, including room assignments and provider scheduling support

Handle payments, basic billing coordination, and front desk transactions

Maintain a clean, organized, and efficient front office environment
-
Act as the central point of coordination for daily clinic operations

Scheduling & Administrative Coordination

Manage appointment booking, rescheduling, and cancellations
-
Ensure accuracy and completeness of client records in the EMR system

Support onboarding by collecting required documentation and information

Maintain organized systems for client tracking and follow-up tasks

Ensure no gaps in scheduling, documentation, or communication

Client Communication Support

Respond to incoming inquiries (phone, text, email) in a timely and professional manner

Provide clear, helpful information about services and next steps

Support follow-up communication for scheduling and appointment readiness

Escalate more complex or consultative conversations when appropriate

Cross-Team Coordination

Work closely with providers and operations to support daily clinic flow
-
Communicate scheduling updates, delays, or client needs in real time

Ensure smooth transitions from check-in to appointment to check-out

Basic Lead Tracking

Update lead and client status in CRM systems
-
Maintain accurate records and flag any issues to leadership
Required Qualifications

Strong experience in front desk, administrative, or client-facing roles

Excellent organizational and multitasking skills

Strong verbal communication skills (phone and in-person)

High attention to detail, especially with scheduling and documentation

Ability to manage a fast-paced, high-touch office environment

Must be able to work on-site in Boulder

Strong understanding of confidentiality and discretion, particularly in a healthcare setting

Commitment to maintaining healthcare privacy standards
Preferred

Experience in medical office, concierge, or patient coordination roles
-
Familiarity with EMR systems, CRM tools, or scheduling platforms
-
Background in healthcare or wellness environments
-
Comfortable handling client questions and coordinating next steps
